Position Details

Residence Life at The University of Tampa has a position available for a Housing Administration Coordinator. This position reports to the Senior Associate Director of Housing Administration. As a member of the Office of Student Affairs, this position will uphold the values of diversity and inclusion, collaboration, personal responsibility, professionalism and community and citizenship. The work of this position will intentionally align with strategic priorities to advance the mission and vision of student affairs which results in student learning and support for students to grow as global citizens.

This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or other conditions.
 
Responsibilities
1.    Manage walk-in traffic by assisting with room change requests, answering housing inquiries, discussing Residence Life procedures, and referring students, parents, and colleagues to the appropriate resources.
2.    Learn and utilize Residence by Symplicity software to manage student room assignments, room changes, and consolidation procedures.
3.    Assist with entering and maintaining accurate housing assignment and meal plan data, including related financial data in Residence by Symplicity.
4.    Maintain all housing administrative forms in Residence by Symplicity.
5.    Maintain a working knowledge of the university’s database and software applications. 
6.    Manage Residence Life weekly reporting and distribution to campus partners.
7.    Participate in marketing and promotional activities through events, tabling, phone, email, video conferencing, and social media support. This includes the ordering of promotional materials and supplies and creation of flyers, posters, and door hangers for events.
8.    Manage departmental social media accounts and membership of online groups, including posting off campus listings to social media accounts.
9.    Assist in planning residential opening and closing procedures.
10.    Administer the early student arrival and late stay processes each term.
11.    Act as a point of contact for the Staff Assistant II when they are absent. Support student staff in the absence of the Staff Assistant II.
12.    Assist in issuing keys and managing room keys.
13.    Assist with the recruitment and training of student staff for the Office of Residence Life.
14.    Actively participate in professional staff meetings to stay informed.
15.    Attend trainings and fully engage in learning and utilizing technology, specifically Workday and Residence by Symplicity, and other department specific technology platforms.
Assist the Senior Associate Director of Housing Administration with administrative tasks. 
16.    Participate in departmental committees on an as-needed basis.
17.    Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds. 
18.    Other duties as assigned.

Qualifications
1. High school diploma required, and some college preferred.
2. Ability to multitask and work on several different projects simultaneously.
3. Excellent people skills and organizational ability.
4. Proficiency with computers is required (Word, Excel, Outlook, Workday, Zoom, Calendly, Eventbrite, PowerPoint).
5. Willingness to embrace new technologies and innovative organizational practices.

Work Schedule
Monday-Friday, 8:30 a.m. to 5:00 p.m.
Summer:  Monday-Thursday, 8:00 a.m. to 5:30 p.m.
Occasional evenings and weekends may be required.
