The Administrative Coordinator will assist the Director of the TRIMEDX Foundation (“the Foundation”) in daily activities that support biomedical equipment mission trips and partnerships that are designed to improve healthcare in the developing world. This position will manage the daily office procedures, log donations and gifts, assist in fundraising events, coordinate meetings, and other tasks as necessary.

Location: Indianapolis, Indiana; we are seeking candidates in the central Indiana region within a 70 mile radius. Our Central (Corporate) Office is located on the northwest side of Indianapolis. This position is Hybrid (a mix of remote & in-office): remote 3-4 days per week, in office 1-2 days per week, and/or as needed.

Bring your donor management experience to our healthcare/med device Foundation. Experience with nonprofit donor management Bloomerang CRM, or similar software/CRM experience preferred.

Responsibilities

• Manage logistic and scheduling of all volunteer travel including but not limited to airfare, lodging and travel insurance.

• Provide administrative support for shipment and collection of mission trip material, medical equipment and parts orders, and other clerical duties as needed. These responsibilities will require on-site office work approximately 1-2 days per week.

• Manage logistics and scheduling of conferences and conference calls.

• Track requests received for Foundation support.

• Assist Donor and Communications Coordinator with donor activity in tracking software and preparing reports.

• Responsible for yearly donor statements.

• Manage documentation of Foundation activities.

• Arrange logistics, documents and presentations for quarterly Board Meetings.

• Support Foundation events and fundraising efforts as requested, including volunteer appreciation events and annual golf outing fundraiser.

• Assist with preparation and production of promotional materials and web communications.

• All other duties as assigned.

Skills and Experience

• Knowledge of Microsoft Office applications required.

• Knowledge of HTM/medical equipment terminology is preferred.

• Experience with arranging travel required.

• Ability to coordinate multiple projects at once.

• Ability to communicate with all levels of corporate associates and management about the missions and project of the TRIMEDX Foundation.

• Experience with charitable organization preferred.

• Strong customer focus to cultivate volunteer and partner relationships.

• Ability to operate effectively in evolving situations, projects, and environments.

Ability to provide detailed support to associates and volunteers on mission trips (which are domestic and international trips).

Ability to work effectively in fast paced environment.

Able to be flexible and creative in role, especially in supporting mission trips as each trip is unique based on location and agenda.

Education and Qualifications

• High school or equivalent degree required: associate’s degree preferred.
