General Summary and Background
The purpose of the Afya Ugavi under the USAID Global Health Supply Chain Program – Procurement and Supply Management project is to address the supply chain and health commodity systems strengthening needs of the family health, malaria and HIV∕ AIDS programs within Kenya. This will be directed through Technical Assistance (TA) at both national and county level. The task order will support the Ministry of Health (MOH) Department of Family Health (DFH), National Malaria Control Program (NMCP), and the National AIDS and STI Control Program (NASCOP).
The Accounts Assistantwill support the Finance and Accounts team based in the Nairobi office. The position will report to Senior Accountant, Nairobi.
Principal Duties & Responsibilities (Essential Functions):
She/he will be responsible for Finance and Accounting roles associated with; Team with all administrative needs which include.
- DA1 FORMS
- Handle the administrative functions associated with the DA1 process to claim VAT for Afya Ugavi Activity
- liaising with Finance and accounts team to retrieve back-up documentation/Invoices for DA1 forms processing
- Preparing the DAI forms in quadruplicate
- ensuring the necessary copies are made and delivery of the DAI forms to USAID
- Maintain and update the VAT tracker on a daily basis
- Communicating with vendors after approval of DA1 forms
- Updating the foreign Tax report on a monthly basis
- Scanning and filing soft copies of financial documents in share point and hard copies in line with finance and office procedures.
- Scanning and sharing E-Slips to Operation team.
- Petty Cash management which include:
- Receipt and review of petty cash request forms
- Disbursement of cash
- Undertakes other activities and performs any other tasks as may be assigned from time to time.
Job Qualifications
- Bachelor’s degree in finance/accounting/business administration or any relevant qualification.
- Experience in processing DA1 forms is mandatory.
- CPA 2 qualification will be an added advantage.
- Two years professional experience.
- Thorough knowledge and understanding of the accounting principles, practices, standards and laws & regulations.
- Thorough working knowledge of MS Office and accounting software & databases.
- Proficiency in analyzing and manipulating huge volume of data.
- Ability to work in a team environment is a must.
- Ability to exercise confidentiality and high levels of professionalism.
- Written and spoken fluency in English required.
