Job Summary:

The Part-time Program Assistant is responsible for the coordination of the University of San Francisco’s Upward Bound Project and works under the supervision of the Director.
Responsibilities include (but are not limited to) the following: documenting time cards, budget and payroll records; maintenance of programmatic files, databases, and executing clerical duties; providing supervision for support staff and training for community agencies, students, and work-study staff; assisting with preparation of evaluations concerning programs; developing training materials, presentations, and acting as a liaison between projects, colleges, school districts, and
community agencies. The Program Assistant will assist with writing proposals and performance reports for the Department of Education.

Full Job Description:

Essential duties:

  • Overall responsibility for maintenance of support activities for three Upward Bound grants
  • Review training budget, account records and prepare a monthly budget report
  • Prepare employment and termination forms for projects
  • Prepare payroll forms for all community agency staff
  • Serve as liaison with Personnel, Accounting, Payroll, Purchasing, and campus
  • Maintain files of project
  • Edit and type reports, proposals, letters, memos
  • Develop and periodically update the project’s office manual
  • Document follow-up meetings for applicants to the program
  • Assist with preparation of evaluations concerning the project
  • Supervise student office assistants

Minimum requirements:

  • Post high school education preferred.
  • Three years of increasingly responsible experience in administrative support work or related education.  Preference will be given to candidates who share a life experience similar to TRIO eligible students and/or who have experience in working with students from disadvantaged backgrounds.
  • Effective Oral and written English language communication, word processing, spreadsheet, and the ability to work cooperatively with students, staff and parents.
