SUMMARY

Within the Office of the Secretary General, the Private Office supports and coordinates the Secretary General and Deputy Secretary General’s activities in the performance of her/his duties, and orchestrates coordinating efforts between the Divisions and other NATO entities.

The Deputy Director, working in a team with four other Deputy Directors, assists the Director of the Private Office and the Executive Coordinator and has particular responsibility for advising the Secretary General on certain issues relating to her/his assigned portfolio of issues, Divisions and Partner countries. S/he also acts as primary liaison between the Private Office and some Divisions of the International Staff (IS), as well as the International Military Staff, as appropriate.

Qualifications

QUALIFICATIONS AND EXPERIENCE

ESSENTIAL

The incumbent must:

  • have a university degree from an institute of recognised standing;
  • have at least eight years’ experience in the diplomatic or civil service of one of the Allied nations;
  • have a strong knowledge of international and political affairs, with a particular focus on matters affecting NATO;
  • possess experience in coordinating major defence and/or security policy initiatives;
  • have a track record working with high level officials;
  • possess the following minimum levels of NATO’s official languages (English/French): V (“Advanced”) in one; I (“Beginner”) in the other;
  • demonstrate flexibility to work outside of normal working hours;
  • be flexible to travel, when requested.

DESIRABLE

The following would be considered an advantage:

  • a graduate degree (Masters or Ph.D.) in a related field; a higher level of knowledge of the second official language;
  • experience in an international work environment;
  • familiarity with NATO decision-making processes.

 

MAIN ACCOUNTABILITIES          

Project Management

Instruct the appropriate divisions in the International Staff on the information required or action to be taken relating to areas of responsibility. Ensure that taskings issued by the Secretary General are clearly understood and effectively taken forward within the specified time frames.

Policy Development

As appropriate, advise Divisions, the Director and/or the Executive Co-ordinator of the Private Office on policy development relevant to her/his portfolio and the work of the IS. 

Stakeholder Management

Collaborate with senior leadership and other representatives in Divisions to work toward organisational goals. 

Expertise Development

Synthesise information from a variety of sources, develop conclusions and present results to the Director of the Private Office, Executive Co-ordinator, and Secretary General as appropriate, in a clear and concise manner. Keep up-to-date on areas of responsibility.

Knowledge Management

Prepare reports and briefing material for the Secretary General. Draft correspondence for signature by the Secretary General. Act as a conduit for Divisions to raise issues to the Private Office.

Representation of the Organization

As appropriate, represent NATO in discussions with Allies and partner countries in her/his portfolio.

Perform any other related duty as assigned.

 

INTERRELATIONSHIPS

The incumbent is one of five Deputy Directors reporting to the Director and works closely with the Secretary General, Deputy Secretary General and Executive Co-ordinator. The incumbent works closely with senior International Staff and has frequent contact with members of the International Military Staff and national delegations.

CONTRACT

Contract to be offered to the successful applicant (if non-seconded): Definite duration contract of 3 years; possibility of renewal for up to 1 year.
