Summary

You will lead logistical arrangements, and the planning and execution of institution-wide ceremonial, development and presidential events. Your priority will be the successful organization of all President’s House events. You will receive direction from the Director, Event Logistics and Design, and will partner with event colleagues to produce superior, impactful events in a complex, but fun, work environment.

Reports to: Director, Event Creative and Logistics, Office of University and Development Events
Supervises: Event Logistics Manager

Responsibilities*

Event Logistics Leadership, Presidential Event Leadership, Execution, and Planning:

  • Design and execute experiences to support each event’s strategies and goals in collaboration with University and Development Events (UDE) colleagues and other event stakeholders.
  • Oversee planning and execution of logistics for our University-wide development, ceremonial, DEI, and presidential events including space planning, contract negotiations, menu design, on-site digital experience, event decor design, performances, custom gifts and transportation logistics.
  • Manage our event logistics, strategy and scheduling at the President’s House including but not limited to School, College, Campuses, and Unit events in the President’s House.
  • Develop President House event formats that School, College, Campuses, and Units may use for events to create an atmosphere that fosters successful donor cultivation and stewardship, while also being sustainable for the events team.

Event, Team, and University Excellence:

  • Event team’s champion for updating procedures and body of knowledge for the President’s House.
  • Responsible for our logistics team’s entries in the project management system to ensure all pillar colleagues complete their work on time. 
  • Lead our logistics team in sharing, recommending and incorporating current event trends in UDE’s event experiences – obtained through training/conferences, books/articles, or subscribing to digital periodicals, among other methods and modes of learning.

Required Qualifications*

  • A bachelor’s degree or an equivalent combination of education and experience is necessary.
  • 5 + years demonstrated event management experience required.
  • Commitment to diversity, equity and inclusion in the workplace.
  • Project management skills.
  • Passion for providing exceptional customer service.
  • Solid knowledge and experience using Google suite.

Note:

  • Overtime necessary to include early mornings, evenings, weekends, and holidays.
  • Travel is required and may occur any time of the year, including holidays.
