THE
ROLE

As part of the KMTS Planning and Governance team, this role is responsible for:

•Developing and integrating change management activities in the KMTS projects portfolio, including framework, methodology, process, risks, identifying the need for change at an early stage of projects, supporting change management resourcing, and controlling adherence to change management methodology;

•Coordinating KMTS communications on a structured, coherent, and effective manner within KMTS as well as between KMTS and other teams in Gavi. This includes support and coaching to KMTS team members to own and deliver effective communications;

•Managing KMTS internal governance, driving and implementing change management initiatives to improve KMTS ways of working.

MAIN DUTIES/RESPONSIBILITIES

Act as a change management expert within KMTS:

•Define, develop, and implement change management framework, methodology and tools as part of KMTS project portfolio management processes;

oAssess project complexity and impact assessment to recommend adequate change management resource capacity;

oAnd as a member of project management gate review, validate change management key deliverables (leadership engagement, communication, training, stakeholder mobilisation and role mapping);

oReport on change management portfolio information (resource, activities, risk) to Gavi leadership members and committees;

oRecruit and manage change management experts delivering on project stakeholder engagement, communication, training and role mapping as well as managing their performance objectives;

•Drive change management initiatives in KMTS, supporting KMTS leadership team in improving KMTS ways of working. 

Drive IT communications:

•Define, drive and implement IT internal communication and marketing strategy, within KMTS and with the secretariat;

oCreate and drive KMTS communication channels as attractive, clear, and impactful communication vectors from the IT department to the entire organization (intranet, video channel, digital community of champions);

oSupport KMTS members to translate their technical communications into clear, user-centric messages to optimise Gavi digital transformation journey;

oSupport KMTS team members to capture the voice of the customers, drive IT periodic surveys and monitor related action plans.

Manage KMTS internal governance 

•Ensure that roles and responsibilities within KMTS are defined, documented, and maintained up to date through team mandates, job descriptions, Terms of Reference (for consultants);

•Streamline KMTS comitology structure and ensure that Terms of Reference for KMTS committees are documented and maintained up to date;

•Define the framework for the monitoring of KMTS objectives and actions set by KMTS leadership team and develop dedicated monitoring reports for KMTS leadership team.

QUALIFICATIONS

Academic:

•Advanced Degree in Communication or a related field. 

•Change management certification 

Work experience

•At least 8 years professional experience in communication and change management

•At least 8 years professional experience in international organisation sector

•Experience leading and implementing change management strategies 

•Experience in working in a project management office

Skills/Competencies:

•Good Understanding of project management methodology

•Strong written and verbal communication skills

•Ability to translate complex or technical message in compelling story for the users. 

•Ability to listen, understand and anticipate stakeholder desire, need, reluctance, fear. 

•Drive for results skills; with demonstrated ability to put the user satisfaction at the centre of IT delivery principles. 

•Strong team management skills

Languages:

•Written and spoken fluency in English.

•Other languages (particularly French) a plus.
