Job Description
Reviews all undergraduate, graduate, and doctoral candidates’ graduation applications ensuring all requirements for graduation have been met. Communicates with pending graduates via email and in person regarding the status of their application. Utilizes DegreeWorks to confirm and certify all students for graduation eligibility. Provide integral day-to-day operational support for the Registrar’s Office and all day-to-day operations of the office to ensure achievement of strategic goals and objectives for the department. Ensure outstanding customer service in the performance of their duties.
Salary Information: The expected salary for this position is $35,690 annually.
ESSENTIAL DUTIES & RESPONSIBILITIES :
- Responsible for certifying eligibility of students for graduation, identifying, and verifying students eligible for graduation with honors.
- Responsible for providing list of certified graduation applicants to Commencement Committee for commencement program.
- Advises students daily via phone, email, and in person with questions and problems regarding their graduation status, registration, transcripts, drops/withdraw, class schedule, etc.
- Responsible for preparing and disseminating all information related to graduation as well as provide efficient and effective communication to students throughout the semester regarding their graduation status
- Utilizes DegreeWorks to confirm and certify all students for graduation
- Responsible for processing late graduation applications, major changes, and course substitutions
- Assists with all Registrar activities including but not limited to registration, registration overrides, student record updates, student/faculty/staff pin resets, drops/withdraws, reinstatement of students who have been dropped for non-payment/administrative drops, FERPA forms
- Responsible for the preparation and organization of graduate check-in for the graduation ceremony
- Ensures that all graduation data is updated correctly in the Banner student information system as needed for offices responsible for reporting graduation rates and completion information reported to Texas Higher Education Coordinating Board, Department of Education, and TAMU System.
- Responsible for the manual review and awarding of degrees after final grades have posted, as well as eligibility for the Tuition Rebate.
- Coordinates and prepares diplomas for mailing and/or pick up
- Prepares the diploma order for graduation including any replacement diplomas, proofs order before and after printing
- Assists with the Apostille process in preparing diplomas for students who need documents authenticated and notarized.
- Ability to work with confidential materials and ensures that the institution is in compliance with the Family Educational Rights & Privacy Act of 1974 (FERPA)
- Manages the replacement diploma process and is responsible for the mailing of replacement diplomas
- Assists with electronic storage of Registrar’s files
- Works independently with general supervision and prioritizes work to meet deadlines during periods of increased workload demands.

KNOWLEDGE, SKILLS & ABILITIES :
Minimum Qualifications
- Bachelor’s Degree or an equivalent combination of education and experience
- One year of related experience
- Strong computer knowledge
- Knowledge of general office practices and procedures
- Ability to communicate effectively, orally and in writing
- Ability to interact effectively and professionally with the public and the students served
- Ability to plan, organize, and perform tasks accurately and independently
- Must possess strong time-management skills
- Ability to maintain confidentiality and abide by federal, state, system, and institutional rules and regulations
Preferred Qualifications
- Experience with student information systems
- Experience in higher education
Other Requirements
- Work beyond normal office hours and/or on weekends
