Position description

Chemonics International is seeking a Records Management Coordinator Intern to support the Records Management Unit of the Global Technology and Infrastructure (GTI) Division. The Records Management Coordinator intern will ensure all records generated in hard and electronic copies are captured and filed in their respective SharePoint Sites/ offsite vendor storage, and in accordance with Chemonics standard guidance to ensure they retain their authenticity and integrity and can be promptly retrieved when needed. They will work under the supervision of the Senior Records Management Specialist, performing the daily work of the RM team and various tasks as needed.

Responsibilities include:

  • Conduct a box audit of archived and unarchived records in storage ensuring all metadata is captured in our ARMs tool.
  • Retrieves data from an off-site vendor database and reconciles it with other corporate systems to maintain an up-to-date unified inventory of Chemonics’ hard copy records.
  • Monitor data quality and record completeness in the ARMs tool.
  • Provide records training to staff both in HO and Project Offices i.e. new staff orientation and closeout training.
  • Supports staff responsible for archiving Chemonics’ project records.
  • Supports the storage and retrieval of hardcopy records by coordinating pick-up and delivery with Chemonics’ offsite records storage vendor.
  • File communications and disposition-related materials for project closeout in the Archiving Inventory
  • Facilitate project disposition by filing project registration and archiving documentation (Archiving Inventory) for data capture and compliance.
  • Ensure that the records disposition tab in CRM is updated regularly, maintaining current information on closeout and project records disposition.
  • Provides outstanding customer service to internal and external clients.
  • Participate in the records disposition process.
  • Performs other duties and responsibilities as required.

Qualifications

  • Minimum one year of records management and administrative work experience preferred, with the ability to handle routine tasks and organizational issues.
  • Demonstrated experience with data entry, filing, cataloguing, retrieving, and preserving records.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision on work progress.
  • Demonstrated ability to communicate clearly and concisely orally and in writing.
  • Demonstrated ability to facilitate meetings effectively.
  • Excellent interpersonal skills, able to work independently and as part of a team.
  • Strong knowledge of MS Office applications, specifically excel and OneDrive cloud

Physical Requirements

  • Ability to work from home and travel to the office when necessary
  • Ability to work in a normal office environment.
  • Occasionally lift and/or move up to 50 pounds.
