Normal Work Schedule: Monday – Friday 8:00am to 4:45pm
Job Summary: The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Follows generally prescribed procedures using limited judgment. Receives, screens, and routes telephone calls, mail and visitors. Arranges itineraries and agendas. Sets up and maintains files (database and/or hardcopy). Types and prepares a variety of material to disperse to various programs. Prepares purchase requisitions. Compiles data and prepares reports. Maintains inventory and purchasing office supplies and materials. Maintains budget records. Acts as daily liaison to other offices. Assists with different departments on clerical needs such as preparing mailouts, assisting the Parent Resource Library Specialist with family activities in the library, checking in and out materials, helping to coordinate and assist in the training room calendar with setting up access and basic technology as needed. Provides direct administrative support in the area of Child Development Services, including departments of training, parent services, parent resource library, infant toddler specialist network, and infant and early childhood mental health. Must demonstrate the ability to take initiative, organize, prioritize, and perform multiple/diverse activities with minimum supervision while maintaining confidentiality.
Required Minimum Qualifications: High school diploma or GED.
Skills and Knowledge: Ability to interact with with the public. Present a professional demeanor. Attention to detail. Ability to multi-task. Ability to collaborate and work as part of a team.
Preferred Qualifications: Knowledge and/or experience in early childhood education
