RECRUITMENT/HIRING
This position is responsible for the primary day-to-day functions of the Human Resources (HR) operations for the Office of the Provost. This position is responsible for all aspects of staff salary plans and will work with the Director to coordinate functions related to faculty/staff salary plans. This position will ensure that approved recruitments are accurately posted, depending on the type of position, in UF Careers. This position will work with the Director in all aspects of recruitment including monitoring required search committee compliance training, posting advertisements, organizing candidate visits/itineraries, and assisting with offer letters. He/she will manage the transactional aspects of the recruitment including posting positions, reviewing applicant pools, drafting letters of offer, ordering criminal background checks, and completing reference checks. This position will work directly with hiring authorities to advise on the proper format ensuring compliance with regulations and ensures proper documents are completed for each different type of appointment. Once the position is filled, ensure the applicants are dispensed appropriately in UF Careers and that the recruitment is closed out electronically.
Process in PeopleSoft all levels of hires within the Office of the Provost, including Faculty, TEAMS, Post-Docs, OPS including OPS faculty, Graduate Assistants, Student Assistants, Federal Work Study, Fellows, Courtesy/Adjunct appointments, and Volunteers. This includes data entry of all hires, ensuring that the appropriate hire documentation has been completed and forwarded to the Level 2 approver in a timely manner.
Will facilitate new hire processes including coordinating relocation/move, all onboarding requirements, establishing email account along with other IT permissions, submitting Gator1 card requests, office assignments, room keys, etc… Work with fiscal personnel to order equipment and office supplies.
HR-RELATED TRANSACTIONS
Provide general guidance and assistance to all unit employees regarding human resources policies and procedures.
Create position descriptions and facilitate requests for reclassifications, special pay increases, and/or new positions requested by the unit Directors. Ensure the department’s organizational chart, directories, and personnel section of website remains up to date.
Process human resource transactions in PeopleSoft up to and including lump sum payments, additional pay, relocation reimbursements/housing allowances, leave of absence requests, leave cash outs, terminations/exit checklists, FTE changes, SPI’s, position description updates, administrative and fellowship supplements, etc. Work directly with Director of Admin Services to ensure employees are distributed to appropriate source of funds, to process retros, and to set up/distinguish funding sources.
The incumbent will manage time entry and work with supervisors to ensure employees time is entered and approved in a timely manner. He/she will track faculty leave requests and approvals and obtain proper time approval documentation for personnel file. Will monitor payroll reports to ensure employees are paid accurately and timely. Will process emergency check requests if needed.
Liaison with the University International Center Office and University Tax Services for all foreign national hires to ensure all necessary documentation is processed and current to ensure valid work authorization for all current and incoming foreign national employees for H1 and Permanent Resident statuses.  Liaison with University Exchange Visitor Services for all foreign national visiting and short-term scholars to ensure all necessary documentation is processed for valid work authorization for all current and incoming foreign national J1 visa holders.
Create graduate letters of appointment for new graduate assistants and handle annual letter renewal process. Enter tuition waivers for graduate assistants.
LICENSING/COMPLIANCE/TRACKING
Monitor outside activity forms and alternate work location agreements, ensuring that all forms are completed accurately and processed timely. Follow-up on renewals in a timely fashion so that all approvals are in place prior to the expiration date.
Oversee monitoring of required compliance trainings to ensure that all department employees remain current on the various trainings per University regulations.

IDENTITY ACCESS MANAGEMENT COORDINATOR                                                                   Assign UFID numbers, process Center Affiliation requests.

Other duties as requested.

Expected Salary:

Expected Salary is $60,000

Minimum Requirements:

Bachelor’s degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

Knowledge of University of Florida policies and procedures; knowledge of PeopleSoft; previous HR experience; strong written and verbal organization and communication skills; good working knowledge of Microsoft Suite; demonstrated attention to detail; ability to maintain a high level of confidentiality.
