Position Summary
Reporting to the Faculty General Manager, the Academic Department Manager oversees the administrative operations of an Academic Department. This position manages and oversees the administration of Department programs and daily Department operations for the Department of Psychiatry.
Duties
Department Operations Manager
- Collaborate with the Finance Partner to monitor, analyze, forecast, and report on the academic department’s financial position.
- Oversee financial transactions, including special grants and contracts, and support faculty members in research grant and contracts management.
- Participate in the financial multi-year plan within Psychiatry and present to FoMD leadership (Dean).
- Recommend strategies and proposals for budget allocations, reallocations, and resource distribution.
- In collaboration with the HR Partner, provide advice and support to the Academic Department Chair and area supervisors on human resource issues.
- Manage the employee lifecycle for Academic Teaching Staff, Clinical Academic Colleagues, and Special Continuing Appointments.
- Oversee the financial aspects of academic human resource administration, including market supplements and externally funded Chair programs.
- Evaluate current business processes for operational and financial efficiencies and recommend changes.
- Manage space allocation, furniture, furnishings, and office equipment.
- Coordinate with Alberta Health Services on physician recruitment and compensation for Psychiatry.
- Develop and execute communication plans in collaboration with the Service Partner (Communications) and Faculty and College offices.
- Oversee department Onboarding and Offboarding, ensuring proper offboarding procedures, including lab decommissioning.
Academic Program Operations
- Collaborate with Directors, Program Directors, Faculty Office, and faculty members to deliver educational programs for undergraduate, postgraduate, and graduate levels.
- Monitor learner statistics to identify trends, utilizing this information in strategic planning processes.
- Oversee learner administration services, ensuring efficiency and effectiveness.
- Lead and direct the department’s academic administrative functions supporting faculty members in teaching, research, and clinical innovation activities.
- Facilitate Principal Investigator (PI) hires.
Strategic Resource
- Manages the flow of operations/administrative information/data to the Academic Department Chair. Ensures information is accurate and timely for effective decision making.
- Contributes professional and administrative expertise to the development of plans, objectives, solutions, policies and procedures for the Academic Department.
- Assists Academic Department Chair with all levels of planning. Ensures the integration of area planning with Faculty, College and/or University priorities. Creates operational plans for the Department’s administrative functions.
- Tracks key analytics and develops reports to support decision making. Responds to requests from the College or Faculty offices for financial and statistical information to support decision making.
- Uses all available information appropriately to guide decisions and negotiations to meet objectives, while acting with integrity.
- Formulates business cases with the Academic Department Chair in order to secure funding for programs and initiatives. Analyzes unit needs and works with the Academic Department Chair to frame requests to the Faculty offices.

- Regularly advises, guides and coaches staff to support continuous learning and performance optimization.

Qualifications
- Undergraduate Degree in Business or equivalent with five to seven years in managerial experience preferred. Note a combination of experience and post-secondary work will be considered
- Minimum 3-5 years of experience providing professional administrative supports to programs, leaders and leading a team greater than 5-7 reports; preferably in a post-secondary environment
- Significant experience in strategic planning, human resource management, financial analysis, preferably in a University environment
- Experience in administration in a large unionized organization, preferably the University of Alberta
- Excellent written and oral communication skills
- Excellent organizational, interpersonal and critical thinking skills
- The ability to interact and/or provide advice and support to all levels, (diverse individuals and competing demands) within a dynamic work environment
- Ability to collaborate and delegate work appropriate tasks and create a team environment
- Excellent tact and professionalism to facilitate negotiation, conflict resolution and handle highly confidential matters
- Strong facilitation, negotiation and problem- solving skills

- Ability to meet deadlines and prioritize work effectively
- Demonstrated use of systems and tools such as Excel, database query tools (Tableau), and PeopleSoft (Finance, HCM, Campus Solutions) would be an asset
- Proven ability to work collaboratively with team members from different areas of expertise, and with senior administrators in an organization
- Experience with an AMHSP in a clinical setting would be an asset in this role
