About the Role
The Academic Programs Officer, situated within the Curriculum Delivery Support Team of the Academic Support Office (ASO) in the Faculty of Arts, plays a crucial role in facilitating the smooth operation of teaching and learning activities and providing comprehensive support across the Faculty.

Collaborating with various ASO teams, the officer ensures the efficient administration of undergraduate, honours, and graduate coursework programs within the Faculty. With an understanding of university policies and procedures, the officer contributes to enhancing academic support services by implementing administrative strategies and fostering effective relationships with stakeholders including Faculty and School staff, as well as Student and Scholarly Services (SaSS).

Your responsibilities will include:

  • Contribute to the effective communication and collaborative working relationships with Curriculum Delivery Support staff, other ASO staff and academic staff.
  • High level administrative support for undergraduate, honours and coursework programs across the faculty in conjunction with other Curriculum Delivery Support staff.
  • Provide successful teaching and learning support across the Faculty including results processing, production of the timetable, student timetabling and other teaching and learning activities.
  • Manage the interface with SaSS in relation to student timetabling, supporting seamless management and advice to students.
  • Manage Student Learning Surveys and provide support to Advanced Standing assessment, Study Abroad/exchange requests, special consideration assessment and respond to student enquiries.
  • Assist with Open Day, Welcome and induction programs for the Faculty and Schools as required.

Who We Are Looking For
Our ideal candidate is an experienced administrator, ideally with experience in a tertiary environment. 

You will bring to the role a high degree of initiative and self-management to handle a diverse range of tasks, alongside well-developed organisational and time management skills, and the ability to adapt to changing workloads.

Excellent interpersonal and communication skills are essential, enabling effective liaison with internal and external stakeholders, including those from diverse cultural backgrounds.

You will be self-motivated and flexible in responding to changing work priorities, with the capacity to work independently and as a member of a team and demonstrate a commitment to the delivery of excellent customer service and continuous improvement to the standard of service.

You will also have:

  • Demonstrated capacity to provide high level administrative support.
  • Excellent interpersonal, written and verbal communication skills with an ability to relate positively on an individual basis with a wide range of people from students to senior management.
  • Demonstrated ability to exercise independent and informed judgement in problem-solving.
  • Ability to exercise sensitivity, discretion, and confidentiality in interactions with students and academic and professional staff at all levels.
  • Demonstrated ability to work both independently and collaboratively within a team, with the ability to time-manage and to meet deadlines.

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn’t have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
