About the Role
This is an exciting opportunity for an Administrative and School Operations Officer to join our team and showcase their skills in high-quality administrative support for the Melbourne Veterinary School and contribute to the planning and delivery of the school’s operations. This is a fast-paced role in a dynamic environment where you will have the opportunity to interact with the Faculty’s Academic Support team located in Parkville, University and Academic Services, Academic and Professional staff, as well as students and the wider community.

Your responsibilities will include:

  • Coordinate all matters relating to subject administration, including timetabling, special consideration, online enquiry systems, handbook, eLearning support, subject experience surveys and coordination of examinations and results processing.
  • Assist in increasing the quality, efficiency and consistency of academic services delivery across programs for all parties concerned within the School.
  • Provide support to nominated School committees, including preparation of agendas and papers, writing and circulation of minutes, and tracking follow-up actions.
  • Contribute proactively to and act as a contact point for staff and students for the escalation of complex queries with reference to existing policies, procedures and guidelines, including student reimbursements, pastoral care support to referral services and supporting student at risk meetings.
  • Facilitate student engagement opportunities, including seminars, conferences, Open Day, student orientation, Student Awards and other relevant activities.

Who We Are Looking For
You bring a natural ability to provide administrative support, exercise sound judgment, and maintain confidentiality. You can work autonomously and collaboratively in a team, interpret and provide advice per organisational procedures and policies, and deliver high-quality service while relating effectively to diverse stakeholders.

You will also have:

  • A relevant degree or equivalent experience
  • High-quality service delivery and effective communication skills
  • Familiarity with student and learning management systems
  • Strong organisational skills and demonstrated ability to prioritise tasks effectively

This position requires the incumbent to hold a current and valid Working with Children Check to ensure the University provides a safe environment for everyone.
