Position Summary
The Washington University School of Medicine Operations & Facilities Management Department provides a range of services for the medical campus in a customer-focused, efficient, and sustainable manner.
Operations & Facilities Management maintains 61 university buildings and provides operational, planning, and construction services to over 8.3 million gross square feet of space. We will open three new facilities between 2023 and 2025 with over 1.5M BGSF. In addition, the School of Medicine continues expanding its reach on and off campus in teaching, clinical care, and research.
Provides day-to-day operational accounting support for the department.

Job Description

Primary Duties & Responsibilities

Accounting/Financial Systems

  • Workday and PM Web.
  • Initiates/reviews approval purchasing transactions for all contractor engagements, maintaining documentation for each.
  • Processes and tracks all invoices related to contractors, suppliers, and vendors.
  • Contacts vendors to adjust, obtain, or process contracts and invoices as necessary.
  • Processes and tracks all invoices related to professional and contractor contracts/commitments.
  • Processes external invoices from all vendors/contractors/supplies for Capital Projects.
  • Processes departmental and internal invoices, obtaining approvals, keying appropriate accounting codes, and tracking as appropriate.
  • Reviews reimbursement requests for appropriate university funding allocation & budget coding.
  • Advises on compliance issues & resolves them before processing.
  • Enters requisitions into the Marketplace purchasing system and monitors purchasing processes as requested.

Budget

  • Provides reconciliation support for the annual budget process.
  • Monitors Capital Projects Budgets by reviewing Project Cost Reports and open encumbrances.
  • Processes journals and accounting adjustments.
  • Assists and provides backup support for Capital Projects Accountants /Senior Accountants.
  • Attends monthly Project Review Meetings with Project Managers and Accountants.
  • Performs other duties as assigned.

Preferred Qualifications

  • Bachelor’s degree in business, accounting, or a related field.
  • Ability to work in a high-paced environment with great organizational skills.
  • Communicate effectively.
  • Works with a variety of people/vendors/suppliers.
  • Be a team player and work in a team environment

Required Qualifications

High school diploma and two years of experience.

Grade
G08-H

Salary Range
$20.76 – $32.21 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one’s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
