Campus Activities Accounting Technician reports to the Director of Campus Activities and is a key member of the team supporting student government. The Campus Activities department has a significant impact on the student experience for a campus of 49,500 students and is responsible for the functional area and, in collaboration with direct reports, coordinates the advisement of Undergrad and Graduate Student governments, including their assemblies. 

The Campus Activities Accounting Technician is responsible for all transactions related to Undergraduate and Graduate Student Government in support of the assemblies, student organization funding, large scale programming, and stipends. Additionally, this role will assist with Campus Activities departmental financial transactions when able which includes program expenses, office vendor POs, and processing purchase request.

Roles and responsibilities include:

  • Sets up and maintains accounts, ledgers, journals, files, blanket requisitions, reports and/or other documentation for departmental or university accounts.
  • Assists with month-end and year-end closings, as needed.
  • Prepares and submits accounting documents for processing. Determines appropriate fund allocations and secures proper approvals.
  • Enters data from various source documents into accounting systems. Reviews source data for completeness and accuracy prior to input.
  • Ensures compliance with internal policies and external regulations and restrictions. Rejects and returns documentation as appropriate.
  • Records, balances and reconciles account activity. Identifies potential problems and researches issue to provide background or comments.
  • Produces and distributes related reports. Verifies accuracy of reports prior to distribution.
  • Maintains documentation for audit purposes.
  • Monitors outstanding or suspense items. Researches, documents, and follows-up to clear or adjust items.
  • Performs one or more specialized accounting duties including, but not limited to, monitoring receivables, collecting past-due accounts, controlling cash or negotiable items and monitoring related inventory procedures.
  • Records and reconciles income and expenses. Monitors actual performance to budget and prepares reports.
  • Approves and processes budget amendments, account charges, expense transfers and closing entries and reports.
  • Confers with staff, students, or external contacts to provide information and/or resolve problems relating to financial transactions. Provides technical support for accounting issues.
  • Creates, monitors, and processes purchase orders, internal requestions, and purchase requests.
  • Collaborates with campus partners in provost finance and accounts payable to make sure financial transactions are completed withing deadlines and request support when needed.
  • Creates systems, policies, and resources to improve process for department and students.
  • Other duties, tasks and projects as assigned to support the department’s financial needs.

Minimum qualifications:

  • Associate’s Degree
  • 1-year Related bookkeeping/accounting experience.
  • Knowledge of bookkeeping/accounting practices and principles. Ability to use a variety of bookkeeping/accounting software applications such as databases, spreadsheets, etc., as required.

Preferred qualifications:

  • 2 years of related bookkeeping/accounting experience
  • University Accounting Experience
  • Knowledge of Workday Finance
  • Experience working in a student service/support office
  • Budget management

The hourly rate range for this position is $24.54 – $27.37.
