Summary of the position

follow up on all office requirements and secure it and support the staff with daily needs. Assist and follow up on the office administrative aspects including hygiene/ cleaning, hospitality, maintenance duties, and any logistic services.

Key relationships:

Admin Officer, Security Officer, Field team, Other TR sections staff.

Main tasks and responsibilities:

  • Assist in the training and mission implementation from the logistic side.
  • Conducting all Hotel, flight, transportation, and restaurant reservations.
  • Conduct any print–scan services.
  • Apply all the instructions and policies followed in the organization.
  • Following up on obtaining the necessary documents related to the admin section and according to SAMS policies.
  • Assist in purchasing related admin items and in accordance with policies.
  • Assist and follow up on the administrative tasks of the SAMS Gaziantep office.
  • Provide the supervisor with all information, updates, feedback, and any necessary reports in the framework of the work.
  • Conducting a market study in relation to work tasks and any administration purchasing.
  • Follow up on the implementation of any tasks of the administrative section.
  • Providing translation services when required and within the framework.
  • Provide the necessary and periodic reports and meeting minutes within the admin framework.
  • Provide the supervisor with the information and input needed to complete the related tasks.
  • Promote and model a positive, professional, and respectful office culture.
  • Follow up on the visitors’ log and the asset registration schedule and petty cash, car log and fuel and according to the directions of the supervisor.
  • Follow-up service staff and their work.
  • Follow up with the office visitors from the admin side.
  • Assist in reporting any security incident related to the office.
  • Assist in any official committee required by the supervisor.
  • Follow up on the admin contracts (rent- insurance- maintenance- cell phone- internet- …etc) and assist in any related process.
  • Any additional duties requested by the administrative manager and in the scope of the Work.

THE CANDIDATE’S REQUIREMENTS

Mandatory Qualifications required:

  • A University Degree In any related Field is mandatory.
  • Minimum 1-year experience as an admin assistant is mandatory

Competencies:

  • Asset Management Project Management

Languages:

  • Fluent in Arabic language (Mother Tongue).
  • Upper-intermediate written and spoken Turkish language.
  • Intermediate written and spoken English language.
