Position Overview:

ADI is searching for Admin Officer to provide support to the Chief Operating Officer. The Admin Officer will play a central role in supporting the day-to-day operations of ADI; including office admin, HR, communications, plus marketing. An important part of this role is to assist with identifying and implementing process improvements to create a more effective and efficient workplace.

Key Responsibilities:

General Administration

  • Assisting with implementing processes and procedures.
  • Manage inboxes, responding and/or prioritising items requiring action.
  • Assist with preparation of reports, presentations, correspondence, and maintain registers.
  • Answer calls, determine the level of urgency and direct appropriately.
  • Maintain SharePoint filing.
  • Expense reconciliation.

Marketing and Fundraising

  • Keep a 12-month forward plan of marketing and fundraising.
  • Maintain donor database and assist with reporting.
  • Assist with the organisation of events and workshops.

Meeting Coordination

  • Assist with the preparation of meeting materials, including agendas, minutes, and actions.
  • Attend meetings when required and contribute to office efficiencies by providing backup support.

HR Support

  • Assist Aust based HR with managing onboarding and separation process.

Plus ad hoc office management tasks, as are often required in small teams.

Key Selection Criteria:

  1. Demonstrated experience in an Admin Officer role (or similar)
  2. Experienced in Microsoft Office Suite
  3. Well-developed interpersonal skills
  4. Ability to organise, prioritise, use initiative, and follow-through on projects to successful completion.
  5. Ability to operate with discretion when dealing with sensitive and/or confidential information.
  6. Excellent attention to detail.
  7. Positive attitude.
  8. Strong team-work approach.

Previous experience working with any of the following platforms will be very highly regarded:

  • Keela
  • Canva
  • Square Space
  • LexisNexis
  • HR Partner

The successful candidate will work closely with the COO and will join our small team in the Sydney office who all enjoy the challenges and rewards of working together to support rural communities in PNG. This rewarding role offers:

We are particularly interested in applications from suitable people of PNG heritage, or those who have a connection with PNG, but this is not a requirement.
