Job Description:
Position Overview: WATAD is seeking a skilled and organized Admin & Procurement Officer to support the implementation of the MSMEs, apprenticeship, and job creation project in Dhi-Qar, Iraq. This position will be responsible for managing administrative tasks, coordinating procurement activities, and ensuring efficient project operations.
Key Responsibilities:

Administrative Support: Provide administrative support to project staff, including scheduling meetings, preparing meeting minutes, maintaining project files and databases, and organizing travel arrangements.

Procurement Management: Coordinate procurement processes for project supplies, equipment, and services, including soliciting bids, evaluating proposals, negotiating contracts, and ensuring compliance with organizational policies and donor regulations.

Inventory Management: Manage project inventory, including tracking stock levels, maintaining inventory records, and coordinating deliveries and distributions to project sites.

Asset Management: Maintain an inventory of project assets, including equipment, vehicles, and office supplies, and ensure proper asset utilization, maintenance, and disposal procedures are followed.

Financial Management: Assist in budget tracking and monitoring, including processing invoices, expense claims, and payments, and maintaining accurate financial records for project expenditures.

Document Management: Manage project documentation, including contracts, agreements, procurement records, and financial documents, ensuring confidentiality, accuracy, and compliance with organizational policies and procedures.

Coordination and Communication: Coordinate with project staff, partners, vendors, and other stakeholders to ensure smooth project implementation, effective communication, and timely resolution of administrative and procurement-related issues.

Compliance and Reporting: Ensure compliance with organizational policies, donor regulations, and legal requirements related to procurement, asset management, and administrative procedures, and support project reporting as needed.
- Bachelor’s degree in business administration, finance, procurement, or a related field.
- Minimum of 2 years of experience in administrative support, procurement, or logistics management, preferably in a non-profit or humanitarian context.
- Strong understanding of procurement processes, contract management, and inventory control.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Excellent organizational, time management, and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication, negotiation, and problem-solving skills, with a focus on attention to detail and accuracy.
- Ability to work independently with minimal supervision and as part of a team, demonstrating flexibility and adaptability.
- Fluency in English and Arabic (spoken and written) is required.
