Job Description:

Position Overview: WATAD is seeking a skilled and organized Admin & Procurement Officer to support the implementation of the MSMEs, apprenticeship, and job creation project in Dhi-Qar, Iraq. This position will be responsible for managing administrative tasks, coordinating procurement activities, and ensuring efficient project operations.

Key Responsibilities:

  1. Administrative Support: Provide administrative support to project staff, including scheduling meetings, preparing meeting minutes, maintaining project files and databases, and organizing travel arrangements.

  2. Procurement Management: Coordinate procurement processes for project supplies, equipment, and services, including soliciting bids, evaluating proposals, negotiating contracts, and ensuring compliance with organizational policies and donor regulations.

  3. Inventory Management: Manage project inventory, including tracking stock levels, maintaining inventory records, and coordinating deliveries and distributions to project sites.

  4. Asset Management: Maintain an inventory of project assets, including equipment, vehicles, and office supplies, and ensure proper asset utilization, maintenance, and disposal procedures are followed.

  5. Financial Management: Assist in budget tracking and monitoring, including processing invoices, expense claims, and payments, and maintaining accurate financial records for project expenditures.

  6. Document Management: Manage project documentation, including contracts, agreements, procurement records, and financial documents, ensuring confidentiality, accuracy, and compliance with organizational policies and procedures.

  7. Coordination and Communication: Coordinate with project staff, partners, vendors, and other stakeholders to ensure smooth project implementation, effective communication, and timely resolution of administrative and procurement-related issues.

  8. Compliance and Reporting: Ensure compliance with organizational policies, donor regulations, and legal requirements related to procurement, asset management, and administrative procedures, and support project reporting as needed.
