The Role
This is a newly created role reporting to the Operations Manager and supporting the Leadership team which also includes supporting the CEO. You will perform general administration tasks and support the Operations Manager with operational issues as required. This is an ideal role for someone looking for flexibility.
Key Tasks include:
- Supporting and assisting the efficient and effective Abbeyfield House management, resident management and operations
- Providing administration support to the CEO
- Central administration support for office management
- Responding to telephone calls, emails and correspondence, processing incoming and outgoing mail, photocopying and printing, filing and archiving, taking notes and responding to requests for information.
- Providing support with Board meeting agenda and minute preparation
- Organising meetings and events
- Drafting communications – internal and external
- Purchasing office consumables
- Minor marketing support – Updating Abbeyfield Australia website
- Arranging travel and accommodation for Board and Abbeyfield Australia staff
- Event Management
- Maintain a variety of registers
- Supporting the Operations Manager with identifying and writing grant applications
- Funding acquittals and compliance returns
About You
You are empathetic and have an affinity in supporting community by providing house needs to enable independence, security and safety for those in need. You are ‘hands on’ and love being part of a team but also have the ability to get the job done and work autonomously. You have a solid background in administration, are an operational professional who thrives on making things better and optimising efficiencies and operations.
You also have
- A proven track record in operations and/or administration
- Highly organised, with a flexible ‘Can Do’ approach
- Proven experience in a similar role
- Demonstrated proficiency in MS Office Suite (advanced)
- Ability to work in fast paced, deadline driven environments
- Strong organisational and time management skills including solid attention to detail
- Proven analytical and problem-solving skills
- Exceptional communication skills
