ABOUT THE OPPORTUNITY
The Administration Coordinator is responsible for coordinating and implementing effective and accessible information management processes and tools, and providing high-level administration support to the organisation. The role delivers outcomes including the coordination and maintenance of business systems to enable access to information, along with the delivery of training and capacity building to support teams across NT PHN.
ABOUT THE ROLE
Reporting to the Operations Lead, the Administration Coordinator is responsible for:
- Maintaining the NT PHN corporate library, including policy and procedure document control to ensure the organisation meets quality management system requirements.
- Planning and delivering training to staff in document control and quality management system requirements.
- Document editing, publication and archiving under applicable corporate standards.
- Providing high level administrative support to the organisation, including coordination of executive level meetings and forums.
- Planning and delivering SharePoint and Corporate Library inductions for new staff.
- Promoting uptake of SharePoint and CRM (Client Relationship Management), providing training to teams, and reporting on usage to senior management.
- Maintaining CRM including monthly data quality audits.
- Maintaining corporate assets in accordance with the asset management strategy and related policies.
- Supporting the management of corporate contracts, including liaising with external suppliers where required.
- Identifying opportunities and solutions for the continuous quality improvement of documentation and resources at NT PHN.
ESSENTiaL SKILLS
- Knowledge or training to equivalent to a relevant Certificate IV, and/or an equivalent combination of relevant experience and/or education/training, with demonstrated experience in developing and maintaining corporate documentation, and in embedding corporate information systems.
- High level administrative skills and experience.
- Proven aptitude for building positive and collaborative relationships, and experience in the delivery of training programs to a diverse group of users.
- Demonstrated high-level written and verbal communication skills with a proven ability to handle confidential information with discretion, and proven research, report development, and analytical skills, with demonstrated experience in the presentation of information to a range of users and stakeholders.
- Proven organisational skills that reflect an ability to accurately initiate, prioritise, and complete tasks within required timeframes, with exceptional attention to detail.
- Strategic and business acumen, and proven ability to apply organisational awareness, diplomacy, insight, and an ability to work collaboratively with a wide range of people.
- Highly developed skills in creating a culture of continuous quality improvement, with demonstrated experience in identifying and realising opportunities for improvement.
- Excellent interpersonal, oral and written communication skills, with the proven ability to influence across the organisation at all levels to obtain buy-in.
