About this opportunity:

We are seeking an experienced and detailed orientated individual to be responsible for a range of administrative tasks, reception duties and other support tasks for both the Executive team and Development, People & Communications team!

Key areas of focus:

  • Reception duties.
  • Administration support.
  • Training Support.

Duties include but are not limited to…

  • Undertake general reception duties at front reception.
  • Direct enquiries received to the appropriate OHV and other services.
  • Composing routine correspondence, reports and other documentation as requested by the Executive Management Team
  • Coordinating meetings across Executive calendars and scheduling meetings and other events
  • Scheduling meetings and appropriate facilities, along with organising catering and tracking meeting actions or taking meeting minutes where required.
  • Developing meeting agendas and supporting documentation as per the instruction of the Executive Management Team
  • Facilitating staff registration and/or payment for functions, conferences, and seminar attendance along with organising catering and venues as part of the Odyssey training calendar
  • Supporting the coordination of organisation-wide staff events

Key Selection Criteria:

To be successful in this role, you must…

  1. Have knowledge of OHV’s Programs & Services.
  2. Be able to effectively liaise and communicate with a wide variety of people.
  3. Demonstrate experience in providing administrative support with attention to detail in all administrative tasks, including coordination of meetings, preparation of meeting paperwork and undertaking resource bookings.
  4. Have strong organisational skills with the ability to follow through on tasks.
  5. Have sound communication skills (both verbal and written).
  6. Have sound computer literacy in Microsoft Word, Excel, Outlook, and Teams.
  7. Be able to maintain confidentiality in relation to staff and client information and other sensitive organisational matters.
  8. Be able to produce accurate and timely meeting minutes and agendas.
  9. Be able to prioritise, multi-task and work effectively within set timeframes and guidelines.

In line with OHV’s Mandatory Vaccination Policy, all Odyssey House Victoria staff are required to hold Fully Vaccinated (Boosted) status, having also received the Booster Vaccination. Evidence of this minimum of three (3) COVID-19 vaccinations will be requested during the onboarding process and offers will be rescinded where such evidence cannot be provided.

All Odyssey House Victoria sites are smoke free for all employees.
