With the Church solely financed by the generous donations of our Church family, there is a significant requirement for effective and transparent financial and administration management.

Overall Administration aspect of the role

The overall administrative aspect of this role is to ensure a full flow of office procedures; supporting our leadership team by carrying out office duties.  You will be the first line of contact to visitors and those belonging to our Church via telephone, Email and in person.  The Administrator should work within the remit of the role at all times.    

The role involves but is not limited to:

  • Counting and recording donations (cash & electronic gifts) with a volunteer team
  • Gift Aid administration liaising with donors and Elim Headquarters
  • Sales Invoices and accounts receivable
  • Purchase Invoices and accounts payable are to be processed appropriately and given to the Accountant
  • Dealing with petty cash and card transactions
  • May have to liaise with Elim Headquarters/Accounts re payroll and pensions
  • Negotiation of contracts to ensure suitability and cost cost-effectiveness Gas and Utility Bills
  • Liaising with Auditors post year-end
  • Preparation and presentation of the Annual General Meeting Report
  • To ensure that all bank balances and financial transfers are checked with Pastor Deanna before processing
  • Responding to telephone calls, Emails, social media messages throughout the week (including checking for any voicemail messages)
  • Recording staff team holidays
  • General filing duties, Health & Safety
  • Arranging visits for building maintenance contractors (as directed by Pastor, Elders)
  • Recording of attendance numbers of all Sunday and midweek meetings
  • Stock management of administration and cleaning supplies
  • Responsibility for welcoming any visitors and guests throughout the week (answering door, refreshments etc)
  • Office maintenance i.e. General upkeep of staff team communal areas (admin office, kitchen, corridors), ordering of required items and collecting/dropping off deliveries and postage       

General Responsibilities

  • Be proactive in keeping up to date with developments affecting your work
  • To support all members of the team on an ad-hoc basis as and when required
  • To comply with the organisational policies and procedures, best practice and legal requirements
  • Contribute to team meetings and organisational priorities

PERSON SPECIFICATION (Administration Officer)

Essential/Preferred Criteria

  • Have a strong Christian faith, seek the presence of the Holy Spirit and be devoted to the Word of God
  • Share the vision and values of Hope Church, Wellingborough
  • Good team player essential
  • Flexible and adaptable approach, teachable and having a spirit of humility
  • Previous experience in an accounting role
  • Numerate, Time management skills
  • Well-organised, timely and prioritises the management of tasks and deadlines
  • Competency using MS Word and Excel, Working knowledge of QuickBooks accounting software
  • Excellent administrative skills
  • Good, confident communication skills – both written and oral
  • Maintain high levels of confidentiality and transparency
  • A ‘can do’ attitude
  • Resilient, able to self-manage and work in potentially stressful situations on occasions.
  • Understanding of ‘boundaries’
  • Shall be/become an active attendee of the Church – we would expect the Administration Officer to take up membership of Hope Church, Wellingborough within six months of their start date

Work Pattern/Hours

This is a job-share role.  Both workers will work 11 Hours each per week Monday to Friday.  Starting and finishing times will be discussed during interview however, the working times could change in certain weeks should the need arise – therefore workers will need to be able and willing to be flexible.  The main place of work is at our office at The Well, Nest Farm Crescent, Wellingborough. 

Salary and Conditions

National Minimum Wage with a statutory pension scheme (if applicable). As with all of our staff teams, there will be occasions when you will be required to complete tasks that are outside of your Job Description appropriate to the role.   There is a 6-month probationary period with reviews after 1 month, 3 months and 6 months.

The job holder(s) must be able to provide evidence of their eligibility to legally work in the UK prior to appointment and for the entire duration of employment. This role has a genuine occupational requirement of being a practising Christian and committing to the vision and values of Hope Church, Wellingborough and Elim Pentecostal Church.
