Posting Summary Rutgers The State University is seeking an Administrative Assistant within the Brain Health Institute of Robert Wood Johnson Medical School.
Under the direction of the Brain Health Institute (BHI), and Robert Wood Johnson Medical School (RWJMS) within Rutgers Biomedical & Health Sciences (RBHS), we seek an Administrative Assistant.
Successful applicant(s) will serve as a staff within the new Herbert and Jacqueline Krieger Klein Alzheimer’s Research Center at BHI. The Herbert and Jacqueline Krieger Klein Alzheimer’s Research Center is a new center within BHI at Rutgers University with the mission of establishing an interdisciplinary, integrated program to provide comprehensive research focused on prevention and treatment of Alzheimer’s disease and other dementias. This center is the first of its kind in New Jersey.
Among the key duties of this position are the following:
  • Arranging and coordinating travel, events, and meetings.
  • Maintaining office supplies, receiving and processing documentation including purchase orders.
  • Processing administrative documents and services such as certifications, room reservations for special events, and procurement and expense/reimbursement transactions.
  • Assist with maintaining calendars for the Center, faculty, and staff.
  • Participating in meetings, including taking notes and scheduling.
  • Communicating with faculty and staff, including answering questions regarding center operations, policies, and procedures.
  • Attending continuing education and compliance training as necessary.

Qualifications

Minimum Education and Experience
  • Associate degree plus two (2) years of administrative/secretarial experience.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Effective oral, written and interpersonal communication skills including knowledge of proper business writing style and format.
  • Experience with MS Office suite and other standard office software, including scheduling aspects.
  • Experience with Web conferencing programs such as Zoom, Adobe Connect Pro, and WebEx.
  • Experience with collaborative documents and programs such as GoogleDocs, and social software and media such as Facebook and LinkedIn.
  • Ability to use standard office equipment such as desktop computers, copiers, printers.
Preferred Qualifications
  • Relevant experience in an administrative function, preferably in college, university, or medical setting.
  • Familiarity with Rutgers University Cornerstone applications (such as Expense Management, RU Marketplace, Concur Travel, Financial Management) preferred.

Immunization Requirements

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Rutgers University may require certain prospective employees to receive an updated (bivalent) vaccine dose. Under Policy 100.3.1 Immunization Policy for Covered Individuals , if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply. Prospective employees should speak with their hiring manager to determine which policies apply to the role or position for which they are applying. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
