The Information and Technology Management Unit (ITM) provides information and technologies management services to WHO programmes and 47 WHO Country Offices in the African Region. The Unit is also responsible for the formulation, implementation, and coordination of ICT strategies and policies in the region.
Description Of Duties:
- Under the supervision of the Manager, Information & Communication Technology unit, the incumbent will assume the following responsibilities:Provide general assistance and administrative support to the Office of the Information and Technology Management Unit;Arrange meetings and take minutes and/or notes at the meetings;Make travel and other administrative arrangements for the staff in the unit and perform liaison duties with other Units;
- Ensure adequate stock of office supplies and IT equipment and prepare requisitions when necessary;Initiate and follow up orders (Requisitions, POs, Quotations, etc.) and payments of suppliers in the ERP system;Follow-up work plan and budget implementation within the unit and generate/distribute related reports;Maintain unit staff training profile and manage, in liaison with unit’s staff and relevant HR colleagues, the SDL process by planning, organizing, and scheduling development events (trainings, seminars, e-learning courses, etc.)
- Maintain inventory of Consumable and ICT equipment issued to users;Follow-up and maintain daily unit’ absence sheet and staff leave plans.Any other duty as requested.
Required Qualifications:
Education
- Essential: Completion of secondary school education and technical training in general studies (secretariat, administration, human resources, etc.).
Desirable:
Experience:
- Essential: A minimum of eight years’ experience in administration support and secretariat operations;
- Desirable: Experience with UN Agencies would be an added advantage.
Skills:
- Deep knowledge of WHO processes and procedures; Strong working Knowledge of WHO ERP system;
- Use of Language Skills
- Essential: Expert knowledge of French.
- Desirable: Intermediate knowledge of English.
