Office Administrative Associate in Center for Clinical and Translation Science (CCTS) will serve as Assistant to Associate Dean of Clinical and Translational Research/CCTS Director and the CCTS Administrative Director. The Administrative Associate has a wide range of duties ranging from providing executive level support to the Associate Dean of Clinical and Translational Research/CCTS Director to responsibilities supporting other CCTS programs and strategic initiatives. This role will provide comprehensive support, exhibit high levels of critical thinking and expertise in executing administrative functions; utilizes considerable discretion and judgment in handling actions on behalf of Associate Dean/CCTS Director and determining appropriate disposition of matters; serves as a primary point of contact and liaison to leadership offices as well as high level officials from granting/outside agencies, department heads, faculty and other constituencies on a broad range of organizational issues; resolves problems as needed; conveys directives/sensitive information; maintains Associate Dean’s calendar and proactively manages the distribution/flow of information in the office and Associate Dean/ Director’s schedule by identifying issues to be addressed directly by the Associate Dean/ Director; schedules meetings, prepares and distributes agendas and other appropriate materials for meetings; organizes and facilitates special events; arranges complex and detailed national and international travel plans and itineraries; supports research activities of Associate Dean; processes requests and requisitions requiring Associate Dean/Director’s approval; interacting with all levels of personnel across the university with a high degree of autonomy and integrity. This includes keeping the Associate Dean/Director aware of current/sensitive issues and deadlines and making independent evaluations regarding the Associate Dean/Director’s commitments; possesses knowledge of university policies and procedures to ensure the smooth operation of the Associate Dean/Director’s daily responsibilities and the CCTS. Arranges and organizes meetings including oversees conference room reservations. This position will also strategically communicate and assist with assigned working groups and sub-committees of the CCTS.
Other responsibilities include the following: manages and distributes all incoming mail, supplies, equipment and miscellaneous packages which includes oversees and maintains inventory of office supplies and equipment, submits purchase orders; develops and prepares presentations and spreadsheets; prepares, submits, and monitors travel requests; manages special projects and events as requested; other duties as assigned.
MINIMUM REQUIRED QUALIFICATIONS
High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 4 years of relevant experience required. 6 or more years of relevant experience preferred.
