Role of Administrative Assistant: The Administration Assistant is a full-time position based in Erbil/Shelter, with some travel to other sites within KRI. The Administrative Assistant will support the work of SEED’s Administrative Unit, perform a full range of administrative duties and manage their queries.
Duties and Responsibilities
- Assist in handling petty cash, and monthly advances, and closures in coordination with the Center Coordinator.
- Ensure internal safety and security procedures such as visitation forms, client confidentiality, and other related matters in coordination with the Center Coordinator and Service Delivery Coordinator.
- Assist in Maintenance of the villas in coordination with maintenance personnel and logistics team.
- Assist in preparing payment request documents for purchased goods.
- Assist in regularly checking inventory of goods such as stationary, Food, Beverages, hygiene items, cleaning items and staff refreshment in the storage room.
- Ensuring that all items in the storage room are well organized and stored correctly.
- Support Operations staff prepare the necessary paperwork and documentation such as Purchase Requests (PRs), Advance Requests and Travel Requests, submitted and pushed through the approval process.
- Assist in the day-to-day operations or any other duties as requested.
- University degree in Business Administration, Marketing, Information Technology or any related fields.
- At least two years of experience in a similar role.
- Previous experience with NGOs is an advantage.
- A team player who demonstrates patience, flexibility and honesty.
- Must speak Kurdish and English, Arabic is preferable.
- Be willing and able to meet tight deadlines and work long hours when required.
- Be able to work in a multicultural environment.
- The ability to work accurately, with good attention to detail.
- Good verbal and written communication skills.
- Good computer skills especially in MS Word, Excel, PowerPoint and Access.
