2. Mission objectives

The SBC and Communication, Advocacy and Partnership units are cross-functional and support all UNICEF programs in social or institutional communication. These include: management of Partner Agreements, organization of events, development and production of communication materials, fundraising, monitoring and evaluation of SBC interventions.

3. Expected results

Under the direct supervision of the SBC Chief and in collaboration with the Chief of Communication, Advocacy and Partnership, the Program Assistant will support the SBC and Communication, Advocacy and Partnership units in the mission described above and the activities described below.

His working time will be distributed as follows (with flexibility):

• 3 days per week for the SBC

• 2 days per week for Communication, Advocacy and Partnership

In carrying out his/her tasks, he/she will ensure in particular that deadlines are respected and that the internal rules and procedures of the Organization are followed.

 Main tasks and responsibilities

The incumbent will work on the specific objectives below:

  1. Facilitate the processing of contracts for consultants, suppliers and external partners of the SBC and Communication, Advocacy and Partnership units in the implementation of the programme. This includes preparing and submitting documents, filling out forms, uploading documents into VISION and making necessary logistical arrangements, and regularly updating lists of suppliers, partners and consultants.
  2. Support invoice collection and submission of documents for approval and further processing in VISION and Service Gateway.
  1. Support the SBC and Communication, Advocacy and Partnership units for monitoring the implementation of projects/programs and financial expenditure.
  2. Support the management of administrative supplies and equipment for the SBC and Communication, Advocacy and Partnership units.
  3. Organization of meetings of the SBC and Communication, Advocacy and Partnership units. Take minutes of meetings and organize the team’s correspondence with consultants, suppliers and partners.
  4. Provide travel assistance to section staff members for travel arrangements and entitlements based on the organization’s rules and policies. Liaise with relevant travel focal points to ensure the organization gets the best service and price for all travel.
  5. Prepare and maintain files relating to planning and program development for his/her respective section.
  6. Perform transactions in VISION ensuring program results, activities and program coding are confirmed.
  7. Support capacity building activities, meetings and conferences by making logistical arrangements, engaging with facilitators, caterers and hosts; arranging schedules by liaising with participants on availability; liaising with budget focal points and the Costs and Requirements Section; and preparing background materials for participants.10. Performs any other task that may be requested.

4. Consultant profile

Education :

Completed secondary education level, preferably supplemented by a technical or university diploma in a field related to work in the administrative and organizational field (BAC, BTS or DUT in Assistant or equivalent university diploma).

Experience :

  • At least 05 years of professional experience in the field of administration and management
  • Have the ability to prepare presentations and write reports
  • Experience working with United Nations System organizations or other international development agencies would be an asset.

Aptitudes

  • The ability to work in a team
  • Availability to travel to the field
  • Computer skills, including navigating the Internet and various office applications.
  • A very good command of spoken, read and written French
  • A good level of English and knowledge of the local language
  • An ability to work in a multicultural environment and establish effective working relationships both within and outside the Organization to Annual Work Plans (APPs), and make and amendments in accordance with section revisions as necessary.

5. Duration of the consultancy

Contract duration: 6 months.
