Location: This position will be based in Belgrade, Serbia. Candidates must have independent work authorization in Serbia.

POSITION OVERVIEW:
The Administrative Assistant provides administrative support to the CSRA project team. The primary responsibilities include overseeing general office matters, maintaining office supplies, and providing administrative, procurement, logistical, and travel assistance to the Belgrade and DC project teams. The Administrative Assistant is Belgrade-based and reports to the COP.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Manage basic operations of the Belgrade office and staff, including files and record management, office inventory and maintenance, implementation of operational policies and procedures, correspondence, and related tasks.
- Under the supervision of the COP, coordinate DC and local staff travel, incident reporting, and security management, ensuring all appropriate documentation is in place and communicated in a timely manner.
- Coordinate with computer, IT, and other office-related vendors, as needed.
- Oversee administrative support of the project and its activities, such as event management, scheduling, travel arrangements, and related tasks.
- In coordination with the finance and program teams, support procurement of goods and services in compliance with PartnersGlobal and USAID regulations.
QUALIFICATIONS:
Required Experience
- Bachelor’s degree in an appropriate field preferred. Associate degree, advanced technical or specialty training and credentials may be substituted.
- 2 years of professional administrative or secretarial work experience required, with a preference for experience gained in related work supporting Non-Governmental Organizations (NGOs).
- Proficient in Microsoft Office; including Word, Excel, PowerPoint, and Outlook.
Required Competencies
- Advanced professional proficiency in English and local language proficiency (Serbian), both oral and written, is required.
- Ability to learn other software applications quickly.
- Excellent communication/coordination skills.
- Excellent organizational skills, detail-oriented, including ability to prioritize and manage multiple tasks.
- Ability to take initiative, anticipate actions, and use creative means to complete tasks and solve problems.
- Willingness to learn from and respond to constructive feedback.
- Ability to work as an integral part of a team, taking guidance and input from a variety of staff.
- Strong time-management skills and ability to work in a deadline-oriented environment.
- Excellent computer skills including word processing, spreadsheets, presentations, graphics, and use of communication applications (Microsoft Outlook, Teams, Zoom, etc.).
- Positive attitude, passionate and hands-on about supporting and assisting colleagues.
- Composed and relaxed during high-pressure situations.
- Degree of comfort level with office-wide IT systems such as conference room webcams and A/V equipment.
