The USAID-funded Non-Revenue Water Management project, implemented by Tetra Tech International Development (International Development Jobs – Tetra Tech), is currently accepting expressions of interest from qualified candidates for an Administrative Assistant position. This position will be located in the main office in Hebron.
The purpose of this project is to improve Palestinians’ access to safe, reliable, sustainable, and climate resilient water services through: 1) the development and strengthening of the institutional capacity of the Hebron, Halhul, and Dura water utilities for sustainable, reliable, and climate-resilient water delivery service; 2) the implementation of strategic infrastructure works to support the objective of the activity; 3) the design and implementation of innovative solutions to expand the use of smart water management technologies for efficient, timely, and transparent water management; and 4) the design and implementation of innovative measures and public awareness campaigns to promote effective water governance at the utility and foster social behavioral change toward more efficient and responsible water use practices and trends. This is a full-time position based in Hebron with regular travel to Dura and Halhul.
The Administrative Assistant is responsible for supporting the HR/Office Manager in administering and managing all office-administrative issues including, but not limited to, office management, travel and logistics assistance, correspondence, office organization and archiving. S/he will also be responsible for ensuring compliance with administrative-related USAID rules and regulations and Tetra Tech’ policies and procedures.
Responsibilities:
*Monitor the use of vehicles and drivers, handle vehicle administration.
*Ensure that all personnel records are maintained in a confidential manner.
*Collect timesheets for approval and filing.
*Provide support in project hiring, including (but not limited to): preparation of recruitment plans, preparation of job-specific interview guides in collaboration with hiring managers, screening, and short-listing of applicants, planning and facilitation of interviews with office panels, carrying out reference checks and clearance reports, and ensuring compliance filing of recruitment and staff contracts, profiles, and other documentation.
*Support the project team with correspondence, filing, document editing, and obtaining approval of administrative documents.
*Maintain the project office in clean and orderly condition and manage the flow of visitors to the office location.
*Managing multiple calendars, including scheduling meetings and coordinating appointments for the HR/Office Manager.
*Support HR/Office Manager in any assigned administrative tasks assigned.
*Support operations and technical teams in all administrative tasks within the project
*Answering phones, relaying messages, and welcoming guests.
*Performs day-to-day activities consistent with understanding basic requirements, standard operating procedures, resources, tools, and quality standards.
Qualifications:
*Bachelor’s degree in public administration or business administration (or related field) is preferred.
*Minimum of three (3) years working experience preferably with NGOs &/or other USAID funded projects
*Fluency in Arabic required and proficiency in English.
*Excellent oral and written communication skills.
*Strong organizational skills and attention to detail.
*Strong communication and intrapersonal skills.
*Ability to foster and maintain a team environment.
