Job Summary
The Administrative Assistant II provides administrative support which requires understanding of processes, data, and/or operations of the department; creates and/or maintains associated documents, databases, meetings, special events; updates supervisor of critical issues/events; provides responses to requests for information; and processes financial and/or procurement documents.
Major Responsibilities/Duties/Critical Tasks
Provide general administrative support to all Facilities Management departments including but not limited to coordinate schedules, answer main line phone calls, process travel, assist staff with time reporting, and perform annual inventories.
Process university utility payments and record appropriate data for further analysis.
Prepares, monitors, and supports assigned procurement activities.
Process inter-departmental transfers (IDTs) for all service contracts.
Provide dispatching support to our facilities and utilities teams as requests/reported issues arise.
Assist Executive Director with reporting, presentations, and special projects.
Assist with monthly reconciliations.
Other duties as assigned.
Required Education/Experience
- High School Diploma or equivalent.
- Three (3) years of related work experience.
- A combination of education and experience may be considered.
Preferred Education/Experience
- Strong hands-on experience with MS Excel, Word, and Outlook preferred.
- Experience in higher education preferred.
Accompanying Knowledge, Skills, Abilities, and Competencies
- Ability to communicate clearly verbally and in written form.
- Proficiency using computers and software packages.
- Ability to prepare reports and presentations.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
