Position Summary
Position involves administering primary office functions, greeting all visitors and students; assisting chair with searches, tenure cases, and faculty reviews; processing grad student applications; managing course listing process;, and serving as a back-up to the Business Manager.

Job Description

Primary Duties & Responsibilities

  • Provides general office assistance for large department serving as “point person” for departmental inquiries, maintaining department master calendar, scheduling meeting and reserving rooms, emailing list of weekly events, making travel arrangements for some faculty, speakers and other department visitors, maintains department directory, and is liaison with bookstore and other on-campus entities. First point of communication for all general office inquires: answers department phone, monitors department email account, and sorts mail. General assistance with office related tasks for others in the department. Serves as backup to Administrative Coordinator for facilities issues.
  • Serves as first point of contact for prospective graduate students and other inquiries about the graduate program. Provides applicant information to faculty, including pulling reports as needed. Enters applicant decisions into Slate, and maintains records for future use.
  • Manages course information for Anthropology Department, Archaeology Program, as well as CAPS offerings and working with classroom scheduling throughout the year. Enters course information into WUCRSL and verifying accuracy. Compiles and submits paperwork to the Deanâ™s office as needed.
  • Manages office supply inventory and ordering supplies as needed. Assists with purchase orders and lab purchases. Assists department members with questions related to reimbursements.
  • Provides administrative support for faculty searches, tenure cases, and faculty reviews. Compiles reports requested by chair and other tasks as needed from department chair.
  • Provides general academic assistance to faculty members, including ordering desk copies, submitting grade change requests, and other tasks.
  • Performs other duties as assigned by Business Manager, Academic Coordinator, and Department Chair.

Working Conditions

Normal office environment using typical office equipment. Typically working at desk or table. Repetitive wrist, hand or finger movement (PC typing). Ability to travel to on- and off-campus locations as needed. May be required to move/lift <15 pounds (e.g. binders, chairs, a/v equipment) as needed.

Preferred Qualifications

  • Bachelorâ™s degree in Anthropology.
  • More than three years prior office experience.
  • At least one year of entry level accounting experience. Experience with university accounting systems.
  • Experience with Microsoft Office programs, good keyboarding skills, ability to use good judgment and maintain confidentiality, ability to multi-task, welcoming demeanor and attitude toward all visitors, faculty and students, good time management skills.

Required Qualifications

  • High school diploma or equivalent high school certification.
  • Two years relevant work experience.

Salary Range
$18.91 – $29.32 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one’s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
