Job Summary:

The Administrative Assistant II provides administrative support which requires understanding of processes, data, and operations of the department. The Administrative Assistant II creates and maintains associated documents, databases, meetings, special events as well as updates the supervisors of critical issues/events, provides responses to requests for information, and processes financial and procurement documents. 

Major Responsibilities / Duties / Critical Tasks:

·       Coordinates calendar and correspondence for Chief of Neurology and Chief of Critical Care.

·       Answer routine inquiries via phone and email.

·       Monitor expenditures and income against the division budgets.

·       Facilitate monthly reconciliation of accounts for divisions of Neurology and Critical Care.

·       Knowledge of PeopleSoft for purchasing and accounting.

·       Process purchase requisitions, payment vouchers, travel requests and reimbursements.

·       Maintain databases for the divisions of Neurology and Critical Care.

·       Submit Work Orders to Physical Plant.

·       Maintains office and meeting supplies.

·       Greet guests.

·       Other duties as assigned. 

Accompanying Knowledge, Skills, Abilities and Competencies:

  • Proficient with Microsoft Office.
  • Excellent customer service skills both in person and over the phone.
  • Strong organizational skills to provide an efficient office environment.
  • Understanding of operating standard office equipment.
  • Strong ability to work effectively with many interruptions.
  • Ability to adapt to a Changing Environment.
  • Ethical; Able to maintain confidential information.



Qualifications

 

Required Education / Experience:

High School Diploma.  

Three (3) Years of related work experience.

Preferred Education / Experience:

Bachelor’s degree in field closely related to the specific endeavor of the department.

One (1) or more years of clerical experience.

Database experience.
