School of Global Health Management and Informatics:

The College of Community Innovation and Education School of Global Health Management and Informatics includes the nation’s largest graduate and undergraduate programs in Health Services Administration (HSA), an Executive Graduate Healthcare Management program (e-MSHSA), a fully online graduate program in Healthcare Informatics (HCI), and an undergraduate program in Health Informatics and Information Management (HIIM). The master’s in HCI is accredited by CAHIIM (Commission on Accreditation for Health Informatics and Information Management), the master’s in HSA and baccalaureate in HIIM are accredited by CAHME (Commission on the Accreditation of Healthcare Management Education) and CAHIIM, respectively and the undergraduate HSA program is certified by AUPHA (Association of University Programs in Health Administration). The Opportunity:

The School of Global Health Management and Informatics at the College of Community Innovation and Education, invites applications for an Administrative Assistant III position. The Administrative Assistant III provides administrative support to all faculty, staff, and students in the school. They will ensure efficient operation of the school and communicate directives from the Director as needed.

The school seeks candidates with excellent organization and multi-tasking skills with a high level of attention to detail. The ability to work under pressure in a high-traffic environment with deadlines, goals, and time limitations is ideal. This position is the first face our faculty, staff, and students see, and we especially welcome candidates with a strong focus on customer service and excellent interpersonal skills.

Responsibilities:

  • Responsible for greeting and assisting all visitors, administrators, and students – in person and by telephone.

  • Makes expense card purchases for the basic needs of the school.

  • Assists with staff and faculty searches.

  • Prepare social media content and publish to SGHMI accounts, including Facebook, Twitter, LinkedIn, Instagram, and YouTube.

  • Assists with meetings and events – takes minutes for School meetings, some may be confidential.

  • Works with the department’s academic advisor to schedule student appointments and maintain sign-in records for student appointments (in-person or by phone).

  • Maintains Director’s appointment calendar.

  • Facilitates the delivery, pick-up, and distribution of departmental mail.

  • School contact for submitting service work orders, key requests, and surplus inventory and adoption requests.

  • Ensures faculty textbook orders are submitted and sent to the UCF Bookstore.

  • Coordinates the collection and proper storage collection of the syllabus, curriculum vitae, and other accreditation-related documents; some are confidential.

  • Conducts clerical duties, including processing copy & scanning requests.

  • Other duties as assigned.

Minimum Qualifications:

High School Diploma or Equivalent and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) . 

Preferred Qualifications:

  • Experience managing a complex calendar (director, executive, etc.)

  • Experience managing internal and external communications.

  • At least 1 year experience with organizing events.

  • At least 1 year experience with managing an expense card.

  • Experience with Microsoft Office Knowledge of Workday and Teams is a plus.

Special Instructions to the Applicants:

This position is on-site Monday-Friday at UCF’s Downtown Campus.

This position is funded by an auxiliary budget and is considered “soft money” as defined in Regulation UCF-3.0122. The appointment may cease with little or no notice as provided therein.
