Are you ready to take your administrative skills to the next level? We’re looking for a proactive administrative partner who is engaged and organized to join our Asset Management and Logistics team (AM&L) within Facilities Management (FM). As a member of our team, you’ll play a crucial role in ensuring the smooth operation of our team, supporting the director and leadership group across various functions.
In this role you will have the following key responsibilities:
- Document Management: Maintain and organize AM&L and FM’s documents using SharePoint, MS Teams and One Note administration, ensuring seamless collaboration across the team.
- Scheduling Pro: Keep things on track by scheduling meetings, generating time-sensitive reports, and taking detailed meeting notes.
- Office Maestro: Provide day-to-day office support, manage office supply needs, and assist with general responses to correspondence.
- Data Dynamo: Support Maximo workflow by creating service requests and work orders and handling financial transfers to aid data management.
- Data Analysis Maven: Perform analysis and reviews to ensure the accuracy, relevancy, and effectiveness of data within Facilities Management systems using data to inform areas for process improvements.
- Tech Savvy: Utilize computer programs such as Maximo, eBuilder, Tableau, Microsoft Office Suite, SharePoint, and MS Teams to make informed decisions about data maintenance.
Your Qualifications:
- You will hold an Associate’s degree; technical/vocational school degree; and have 4-6 years of experience or an equivalent combination of education and experience.
- You will be knowledge of computer programs, especially Microsoft Office Suite, SharePoint, and MS Teams. A bonus if you have experience with Maximo, eBuilder, and/or Tableau.
- Comfortable with data management, including creating and maintaining service requests, work orders, and financial transfers.
- You are curious and willing to learn new processes and software programs.
- You are self-motivated, able to multi-task, manage priorities, and problem-solve with a positive attitude.
- You demonstrate accountability in work responsibilities and are supportive of the divisions core values and mission and have a passion for diversity, equity, inclusion, and wellbeing.

- This position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 1-2 days per week and on-campus 3-4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
