Emory Law seeks an Administrative Assistant to provide assistance to faculty members as well as other school leadership as assigned.  The Administrative Assistant facilitates the successful completion of processes for faculty members by adhering to university or school policy.  The ideal candidate is a person passionate about legal education as well as providing support to others.  In your first year, you can expect to learn from other professionals about legal education while making strides make continuous improvement of the support of the goals of the school.  This is an in-person position requiring physical presence on campus during the academic year (generally August – May) with potential for limited remote work in the summer (June and July).  If you are a future-focused administrative professional seeking a new career challenge where your work will have an impact, we welcome your application.     

 

JOB DESCRIPTION:

 

  • Provides administrative support for Emory Law faculty including general management, a research environment, or a specific program,
  • Ensures office activities comply with Emory policies and procedures,
  • Responds to incoming correspondence including, but not limited to, email, mail, and telephone calls,
  • Maintains calendars and prioritizes meeting requests,
  • Reviews incoming correspondence and identifies items of special interest; handles routine correspondence and prepares appropriate responses,
  • May complete forms, grant applications, and/or correspondence,
  • Prepares charts and graphs for reports and presentations,
  • Creates and edits scientific, programmatic or other reports associated with the law school,
  • Schedules meetings and handles logistics for meetings and special events,
  • Prepares materials for meetings and special events,
  • Initiates, processes, and maintains records and invoices,
  • Keeps management apprised of account status, identifies cost-effective solutions and may authorize expenditures,
  • May monitor or maintain budgets and grants, assist with budget development, and prepare related expense reports and reimbursements,
  • Plans and coordinates travel arrangements,
  • Maintains databases and spreadsheets; may also analyze data and design/generate associated reports,
  • Establishes and organizes filing systems,
  • Oversees ordering and maintenance of office supplies,
  • May supervise or direct the work of support staff and/or students, and
  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS: 

 

  • A high school diploma or equivalent and five years of clerical or secretarial experience, or a bachelor’s degree.
  • Proficiency with various personal computer software applications.
  • Positions in this classification may require keyboarding skills.

PREFERRED QUALIFICATIONS:

 

  • Proficient with the Microsoft suite including Outlook, Excel, Word, and PowerPoint.
  • Outstanding data management, administrative, organizational, and interpersonal skills.
  • Strong attention to detail.
  • Must be willing to learn and implement new technologies to enhance task performance.
  • Excellent English oral and written communication skills.
  • Ability to initiate and follow-through with minimal supervision as well as meet deadlines, work under pressure, adapt to changing priorities, be part of a collegial team and balance competing assignments.
  • Experience working in or demonstrated ability to work with diverse constituencies and support an inclusive environment.
  • Experience in higher education, law firm, and/or public service agency.

 

To Apply:

 

  • Applicants will be considered on a rolling basis until the position is filled with a first review on March 11.
  • First round interviews occur via zoom the week of March 18.
  • Final in-person interviews occur the week of April 1.
