Administrative Assistant – School of Nursing

Summary

Position Summary
This position will provide administrative support to the Director, and as-needed support to the Nursing administrators, faculty and staff.  This position reports to the Director of the School of Nursing in the College of Health and Human Services.  Provides administrative oversight and coordination of the daily operation of the school of nursing. Performs work of a confidential nature and relives department staff of routine and non-routine administrative responsibilities. Must be able to interpret and make decisions based on policies, procedures and practices established by the university.  

Essential Functions
  • Schedules, secures meeting locations and teleconference capabilities. Prepares agendas and other documents for distribution.
  • Attends department meetings and retreats, drafts and posts minutes of meetings. Manages the hiring, supervision and budgets of the School of Nursing. Prepares and/or provides coordination, analysis, data collection, reports and other communications.
  • Interprets, develops and implements operational procedures and policies for College office and College operations as a whole.
  • Helps plan and support College events.
  • Serves as principal office liaison to the Director and Coordinators in the School of Nursing, budget administrator, Human Resources, Purchasing, Student Financial Aid, Campus Operations and Foundation, as well as other College offices, in matters involving the operation of the College.
  • Opens, reviews, routes or responds to correspondence. Researches, responds to questions from students, staff, faculty and the general public. Resolves administrative problems. Handles the PED and the ordering for the School of Nursing.
  • Provides support to the budget and operations administrator including monitoring monthly expenses for accurate progression through proper channels, processing invoices, preparing check requests and travel/expense reimbursements and ordering supplies for the School of Nursing.
  • Assists with the development of position descriptions and advertisements for searches and coordinates the faculty/staff hiring functions.
  • Maintains confidential personnel files, subject files and school files.
  • Represents the Director in verbal/written to internal and external entities.
  • May supervise student employees
  • Edits paperwork submitted by others for correctness; proofs copy and makes corrections.
  • Assist in all searches, including maintaining files, acknowledging correspondence, setting up interviews and travel arrangements
  • Responsible for keeping the department in compliance with university record retention policy and maintaining orderly and appropriate records of department activities
  • Maintain departmental records required for accreditation annual reports, and produces reports and data when needed
  • Schedules classes each semester, lists textbooks and faculty for each class, obtains classroom assignments

Minimum Qualifications

Experience

  • One-year related experience required.

 Education

  • High school diploma or GED required.

 
 
Preferred Qualifications

  • Knowledge of CSS and HCM systems
  • One or two years related experience required, must include progressive administrative experience.
  • Excellent proof-reading skills
  • General budgeting and/or reconciliation, requisition skills
  • Excellent Excel spreadsheet skills
  • Maintain confidentiality

  • Ability to access and maintain document imaging systems, including scanning and filing documents
  • Ability to operate computers and peripheral equipment such as printers
  • Ability to draft office correspondence
