Work Schedule Wytheville Community College is open from 8 am-5 pm, Monday-Friday. This position will be required to work these hours and may be required to occasionally work some evenings for special projects or events.

Job Description

Wytheville Community College is seeking an Administrative Assistant for the Associate Vice President (AVP) of Finance. The purpose of this position is to provide administrative assistance and support to the AVP of Finance and the Wytheville Community College Campus Police Department.
Responsibilities include but are not limited to the following:

  • Support the AVP of Finance by answering phone calls, scheduling appointments, filing, corresponding and interacting with other departments and external customers, routing documents for review and signatures, taking and generating meeting minutes, scheduling travel arrangements, and providing procurement support;
  • Provide budget tracking, procurement support, and travel arrangements support to the Police Department;
  • Serve as backup to the switchboard in answering and directing phone calls to the college;
  • Manage, track, and process payments for service marks and trademark renewals with the VCCS;
  • Create letters and notify effected parties about claim procedures; and
  • With input from the AVP of Finance and the Chief of Police, this position will update regularly Incident Command Charts, Communication Listings, Continuity of Operations Plans (COOP) and Crisis and Emergency Management Plan (CEMP).

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA’s/Required Qualifications Computer proficiency including skills in utilizing Microsoft Office or equivalent software;
Prior experience and/or training in administrative support;
Exceptional attention to detail, capable of proofreading written communication and key information; and
Effective communication skills, both in writing and verbally, with the ability to interact well in-person and over the phone.
Additional Considerations Previous State of Virginia procurement experience, including the use of eVA;
Previous experience arranging travel and using ChromeRiver; and
Experience in an emergency management or higher education environment.
