The Cheshire County Conservation District (CCCD) is excited to be expanding our team! We are seeking an Administrative Coordinator to provide office administration and support for programs, equipment rentals, outreach, and development in coordination with the District Staff and Board of Supervisors.

Perform a wide range of activities for the Conservation District Board and/or District Manager to facilitate the efficient operation of the organization.

This is a year-round part-time position for 15-20 hours/week.  Compensation is $20/hour.  Location is the Walpole NH office with potential for limited remote work, considered on a case-by-case basis.  This is a three-year position with opportunity for extension.

Responsibilities include, but are not limited to, assisting the District Manager with the following position functions:

Office Administration

  • Contact and database management (constant contact and excel)
  • Communications with program participants. This will include working with grantees on the following:  notification of awards, preparing and collecting contracts and associated documentation, reminders on reports/deliverables being due, etc.
  • Take minutes at board meetings, notes at work group meetings (e.g. Climate Resilience Grant Meetings, Monadnock Outdoors, etc.)
  • Purchases supplies, equipment, and materials as needed for operations and events
  • Coordinates and schedules meetings as needed
  • Coordinates mailings of annual appeal, donor thank you letters, farmer newsletter, and other correspondence as needed. This includes preparing content with mail merge and/or proofreading content, placing printing orders, and preparing the mailing for USPS (stamps, stuffing envelopes, etc.)

Outreach and Development

  • Attend workshops/meetings as needed and represent CCCD at events as needed.
  • Event tabling (e.g. farmers market, earth day, etc)
  • Distribution of printed materials to community partners (e.g. equipment flyers, promotion of GSMM, etc.)
  • Advancing CCCD’s development and fundraising goals.
  • Making requests for donations and sponsorships from community businesses and individuals. This can be for general CCCD operations and/or specific program needs (e.g. Veterans Appreciation, JPS Farm Scholarships, etc.).

Program Support

  • Assisting in the development and coordination of CCCD programs
  • Assisting with event planning and execution (this includes educational workshops, annual celebration, fall tour, etc). Roles could include ordering refreshments, room set up, attendee registration, being the representative for CCCD, conducting evaluations, etc.
  • Conducting surveys, interviews, and other evaluative tools on conservation and agriculture needs and opportunities with community members.
  • Communicating soils, water, and wildlife conservation information for land management as well as farm and forest business viability programming through digital communication as well as on-site visits
  • Provide educational, financial, and technical assistance and information to land users, towns and others with assistance from the USDA Natural Resources Conservation Service (NRCS) and other federal, state, and local partners.
  • Advancing CCCD’s commitment to Diversity, Equity, and Inclusion
  • Grant writing and assisting in the execution and reporting of awarded grant programs.
  • Carry out other duties as assigned by the Board of Supervisors and/or District Manager.

Equipment Rentals & Seed Sales

  • Be the first point of contact for renters.
  • Provide them with needed rental agreements, manuals, and directions on insurance certificates, pick-up/drop-off, and needed cleaning and greasing of equipment.
  • Log all information in the calendars and communicate as needed on equipment transportation.
  • Arrange service as needed. This includes the purchasing of parts, communication with service provider, and arranging transportation with the equipment committee.
  • Offer seed sales 2x annually to agricultural producers. This includes collecting orders and organizing pick-up.

Minimum Qualifications

The qualified candidate should have a minimum of three (3) years prior professional experience and an interest in natural resources conservation and the viability of the farm and forest businesses in our region.  A valid NH Driver’s License and reliable transportation is also required. Excellent computer skills and strong knowledge of relevant software (e.g. Microsoft Office suite, Google Drive, Canva, etc.) and social media as well as knowledge of operation of standard office equipment is required. A background check is required.
