Position Overview The University of North Texas at Dallas invites applications for the position of Administrative Coordinator.
The position is responsible for providing complex administrative support and customer oriented services for the Student Life department. Identifies and recommends improvements for administrative procedures, as necessary assignments vary from routine to complex and require some latitude and problem solving and interpretation of departmental and university guidelines.
Responsibilities of the position include, but are not limited to:
* Provides support to the office/area while being a resource to assist with the resolution of various administrative matters.
* Directly responsible for purchasing, and account reconciliation.
* Composes a variety of materials including correspondence, reports, and forms and meeting notes.
* Assists with the collection of data and analysis and the preparation of materials for meetings/ or events and provide assistance to the completion of reports.
* Orders and receives supplies and manages departmental inventory.
* Handles a variety of logistics including room scheduling, special events, and timely delivery of materials to stakeholders.
* Other duties as assigned.

Minimum Qualifications Bachelor’s and one (1) year of related experience; or any equivalent combination of education, training, and experience
Knowledge, Skills and Abilities • Considerable knowledge of general office procedures and practices. 
• Knowledge of University policies and procedures related to the area of assignment.
• Skill in making mathematical calculations and computations.
• Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to establish and maintain good working relationships.
• Ability to communicate effectively orally and in writing.
• Ability to work without close supervision.
• Knowledge of safe working procedures related to work performed.
Preferred Qualifications

Work Schedule Monday – Friday, 8:00 AM – 5:00 PM. After hours as needed.

Job Duties

o Prepare invoices, reports, memos, letters, financial statements; and prepare corporate documents, records and reports for approval.
o Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
o Coordinate office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping.Maintain and enter information into databases. Maintain inventory of purchases.
o Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records,
correspondence, or other material.

o Open, sort, and distribute incoming correspondence, including faxes and email. Prepare responses to correspondence containing routine
inquiries.
o Proofread work done by others to check for correct spelling and grammar, ensure that company form at policy is followed, and recommend
revisions.
o Answer phone calls and direct calls to the appropriate parties or take messages.
o Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
o Coordinate off-site purchases for program and office supplies.
