The Opportunity
Cornell Laboratory for Accelerator-based Sciences and Education (CLASSE) and the Center for Bright Beams (CBB) are at the forefront of groundbreaking research and innovation. As we continue to push the boundaries of science and education, we are seeking a proactive and resourceful Administrative Assistant IV to join our team. This is an exceptional opportunity to contribute to the success of prominent research centers and to support a vibrant community of faculty, staff, and students.
Key Responsibilities:
- Complex Logistics and Travel Management: Plan and organize intricate travel arrangements and prepare comprehensive reimbursement reports.
- Financial and Grant Support: Assist in managing finances, including the oversight of subawards, grant proposal processes, and NSF reporting.
- Event Coordination and Planning: Play a crucial role in organizing seminars, conferences, workshops, and various events, ensuring smooth execution and outstanding experiences for all participants.
- Data and Records Management: Take charge of maintaining essential databases, websites, and participant records, including the coordination of data for annual reports and publication records.
- Office and Program Support: Serve as a welcoming receptionist, manage office supplies, and ensure the seamless operation of our work environment.
- Safety and Security: Maintain the CULearn safety training database and manage ID card/security access, ensuring a safe and secure environment for all members of CLASSE.
- Communications and social media: Maintain and enhance our online presence through website updates and social media engagement, keeping our community informed and connected.

What We Need

- Associate’s degree and 2-4 years of relevant work experience, or an equivalent combination of education and related work experience.
- Ability to successfully prioritize and oversee multiple tasks in a busy work environment.
- Ability to be self-directed and exhibit sound judgment.

- Proficiency with Microsoft suite, including Outlook calendaring, and Google applications.
