What we want
The Administrative Coordinator I is responsible for coordinating functional support for all professional staff within the Student Organization Leadership & Development (SOLAD) area, as well as coordinating key processes and services within the office. This role will manage student organization insurance procurement, constitution review, and concessions processing, while also supporting procurement, scheduling, reservations, and communication functions for the Assistant Director and area staff. The position will supervise all area student assistants, including hiring, training, and evaluation, and provides coordination for student organization special funding. What you need to know
Starting Salary: $36,000/year

Position Details: Employee will supervise 3 Student Assistants

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of related experience in office administration

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Interpersonal and communication skills

  • Planning and organization skills

Preferred Qualifications:

  • Experience with student organizations, activities, programming and administration in a university setting

  • Excellent Microsoft Excel and word processing skills

Essential Duties/Tasks

  • Process Management & Customer Service – Manages key processes, including administration of the Special Event Insurance process and the Sponsored Events Calendar, as well as oversight for student organization constitution review processes. Assists students, faculty, and staff with risk management and recognition related inquiries and documents, and handles complex communications – in person, over the phone, through email, and in writing – with a variety of university and community constituents and partners.

  • Administrative Support – SOLAD Area – Serves as the office manager for the area, managing meeting rooms/spaces and equipment reservations, coordinating office purchasing and procurement, overseeing concessions permit intake and routing, reviewing organization Event Forms, and conducting student organization meetings and consultations. Oversees the maintenance of office records, resource materials, equipment, and supplies, manages technical and confidential information and correspondence, and compiles information and creates reports as needed. Provides administrative coordination for the Assistant Director through calendar management and phone/office screening, and for all professional staff through meeting scheduling, room reservations, travel arrangements, and administrative projects.

  • Program Support – Organization Management Initiatives – Coordinates Student Organization Funding Assistance Board processes related to the management of applications, committee scheduling and attendance, documentation and tracking of allocation decisions, and communication with applicants regarding timelines, outcomes, and requirements. Coordinates and/or supports other designated organization management programs, leadership and community engagement programs, and other area special projects.

  • Supervision – Hires, trains, and directly supervises area student assistants, with responsibility for evaluation of these individuals in the performance of their duties.

  • Other Duties – Represent the SOLAD team and the Department of Student Activities on departmental, divisional, and/or university committees. Performs other duties as assigned.
