Job Description
Assists with the administrative workflow of the assigned work unit and administrative and logistical project or mission support. Proofreads, edits, reviews, and formats documents; addresses routine questions and correspondence; maintains databases; and refers complex issues to higher-level assistants or the supervisor. Participates on Fund-wide administrative committees and working groups, including those for technology reviews.
The work will include:
- Participates in the drafting of documents by integrating text, tables, and charts from multiple sources/software applications. Drafts and edits routine correspondence on administrative matters. Proofreads and edits documents on behalf of supervisor and/or office/division staff; ensures correct grammar, spelling, and punctuation; formatting in accordance with Fund style.
- Provides administrative and logistical support for mission teams both before and after the mission in coordination with field offices when necessary.
- Reviews outgoing documents (such as board documents, briefing papers, TA reports, back-to-office reports), sends them, after editing and formatting, through the review process, and archives them as needed.
- Monitors and responds as necessary to all incoming e-mail, requests for information or comments, assigns them appropriately to the division staff, and tracks/enforces all associated deadlines. Prioritizes, routes, and schedules work to ensure an appropriate and efficient resolution/response. Anticipates and resolves competing priorities or escalates to a senior assistant or supervisor when necessary.
- Assists with first-line technical support to colleagues at all levels within the work unit on Fund systems, office productivity software, and other office automation technologies such as mobile technology and teleconferencing. Guides and follows up with technical support vendors/contacts on behalf of supervisor and/or staff. Assists with expert and vendor administration/on-boarding, off-boarding, provisioning, and financial/budgetary tracking and reporting.
- Organizes meetings, seminars, workshops, and/or conferences, including planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers. Coordinates and publishes internet or IMF intranet postings for the work unit, including country entries. Requests interpretation services when needed.
- Disseminates Fund administrative policies within the work unit for staff at all levels. Creates and maintains spreadsheets to track administrative data or processes for the unit. Ensures compliance with policies and liaises with relevant departments to resolve issues, as necessary.
The candidate should also be willing to occasionally work overtime, sometimes at short notice.
Qualifications
- High school diploma or equivalent, supplemented by a minimum of two years of relevant work experience, is required. No previous experience would be required for those who have completed a bachelor’s degree.
- Excellent organizational, and administrative skills, including proven ability to deliver on short deadlines, prioritize activities, and handle multiple tasks simultaneously.
- Initiative, resourcefulness, and a demonstrated ability to work with minimal supervision, under pressure to meet the demands of an evolving workload.
- Strong oral and written communication skills.
- Strong interpersonal skills, including a demonstrated ability to work independently and as part of a diverse team, and previous experience working across organizational units/divisions.
- Display a high degree of accuracy, attention to detail, and follow through.
- Sound judgment and tact in handling contacts with staff at all levels, and utmost discretion in handling confidential matters.
- A thorough knowledge of Fund organization and administrative policies and procedures, and knowledge of MCM procedures.
- Proficiency in Microsoft Office, with ability to handle large word documents and perform operations in excel, including editing charts and tables.
- Proficiency in using the major Fund IT applications, and an ability to leverage technology to improve work practices and communication flows.

Candidates must have passed the Office Assistant online exam to be eligible.
