ABOUT THE JOB
We are seeking a highly organized and experienced Administrative Coordinator to support our Program and Grants Management teams. This currently includes a Grants Manager, two Program Officers, and a Strategic Projects Manager. This new role will be essential in ensuring the smooth and efficient operation of our grantmaking and programmatic activities. The Administrative Coordinator will support problem-solving, consistently looking for ways to improve efficiencies across the organization, and helping the team stay organized. This role provides administrative support but also offers an excellent opportunity for individuals interested in learning about philanthropic grantmaking in the documentary field. Familiarity with and passion for the documentary field would be a bonus! We have a highly flexible remote work policy with a preference for the person in this role to be located on the East Coast, near our base in New York.
KEY RESPONSIBILITIES
General Administration
- Providing day-to-day administrative support for the team, including website maintenance, supporting core operational processes, and responding to general inquiries about Perspective Fund.
- Meeting coordination including agenda development, facilitation support, scheduling, preparing any necessary technology, notetaking, and overseeing follow-up communications or next steps.
- Supporting the preparation and proofing of public correspondence and communications, ensuring clarity and professionalism.
- Assist in planning and executing internal and external events (virtual and in-person) related to team building and programmatic activities. Manage event logistics, including venue booking, catering, and participant coordination.
Programs and Grants Coordination
- Input and manage data related to grants and programs in the organization’s database systems, including the grants management system (GivingData and Salesforce), and Airtable. Ensure data integrity and accuracy. Review data for consistency and completeness.
- Conduct media monitoring to collate content about current or prospective grantees and the documentary impact field at large.
- Assist in grants management through the preparation, review, and processing of grant applications, payments, and reports. Support the maintenance of accurate and up-to-date records of all grant-related documentation. Track deadlines, issue reminders, and ensure timely grantmaking processes.
- Support the Grants and Programs team with special projects and initiatives as assigned. Upcoming projects include transitioning grants management systems and piloting measurement, evaluation, and learning practices across our programs.
REQUIRED QUALIFICATIONS
We are looking for someone who demonstrates the following:
- At least three years of administrative experience that required cross-team support, preferably in a nonprofit, philanthropic, or arts and culture-related setting.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, pivot when needed, and prioritize effectively in a fast-paced environment.
- Proficiency with a variety of computer software applications. Our team currently uses DocuSign, Google Suite, Asana, Slack, Airtable, GivingData, and Salesforce.
- Ability to take initiative, solve problems creatively and work independently.
- Ability to handle confidential information with complete discretion.
- Familiarity with and commitment to human rights and social justice issues.
- A commitment to continued learning on issues related to race, gender, diversity, equity, inclusion, and belonging is required of all Perspective staff as we value social justice as an organizational operating principle.

PREFERRED QUALIFICATIONS
- Experience working in the film or documentary industry.
- Project management and event planning experience.
- Perspective Fund’s working language is English; proficiency in additional languages is a plus.

COMPENSATION AND BENEFITS
Salary range: $75,000 – $85,000 based on experience
