JOB DESCRIPTION

 

Monitoring the division’s expanding work agenda, assisting with all the administrative workflow of the division. Proofreading, editing, and formatting memoranda and documents to be shared with the Immediate Office or the Managing Director. Quickly addressing all requests from divisional staff and solving complex issues while coordinating with senior coordinators or the supervisor when necessary. Participating in Fund-wide administrative committees and working groups, including those for technology reviews.

Major Duties and Responsibilities

  • Assisting in preparing correspondence, announcements, memoranda, and logistics for courses, learning seminars, open forums, and interdepartmental meetings for the Internal Economics Training program team.
  • Drafting complex documents such as Board Papers, Working Papers, and Concept Notes; combining text, tables and charts from multiple sources/software applications.
  • Providing support to Fund representation by organizing quarterly meetings with the Directors of ICD’s six Regional Training Centers located overseas.
  • Assisting and providing support to the Online team by sending relevant correspondence to Fund’s departments for course contribution to ICD’s digital catalog, plus distributing the printed catalogs throughout the Fund, the Regional Training Centers, and the IMF Offices in Europe.
  • Drafting routine correspondence on behalf of the division’s management team or divisional staff.
  • Creating spreadsheets, documents to maintain and track special requests addressed to supervisors and enforcing associated deadlines. Initiating standard reports to inform administrative decisions or check compliance with Fund procedures.
  • Providing support for overseas staff regarding reimbursements of their expenses while on mission travel, or repatriation travel.
  • Maintaining and updating the division’s work structure in Teams.  Providing support for incoming new staff members and ensuring their smooth integration in their new location and within the division.
  • Organizing seminars, workshops, and/or conferences, including planning, material production, scheduling, logistical arrangements, and liaising with participants and speakers. Coordinating and publishing IMF intranet postings for the division. Requesting interpretation services when needed for the Fund’s Spring and Annuals meetings.
  • Anticipating competing priorities or escalating to a senior administrative coordinator or supervisor when necessary.
  • Assisting with first-line technical support to colleagues at all levels within the division; working on Fund systems, office productivity software, and other office automation technologies such as mobile technology and teleconferencing. Following up with technical support, vendors/contacts on behalf of the supervisor and/or staff.
  • Disseminating Fund administrative policies within the work unit for staff at all levels.
  • Training and providing guidance to divisional administrative coordinators/temporary staff to better understand the Fund’s rules and policies and to learn how to navigate resources necessary for the job.
  • Occasional overtime may be required.

 

Qualifications

 

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience, is required. External candidates must have spent at least two of the six required years of experience in a lead role.

 

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015.

 

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended. 

 

Only candidates who are currently residing in the Washington DC metro area will be considered.

 

Candidates need to have passed the IMF Staff Assistant exam to be considered.
