ADMINISTRATIVE SPECIALIST – Position #K0214885
This permanent, full-time position is located in the Licensing Section of Administrative Services Division at the Pratt Operations Office, and is directly supervised by the Chief of Licensing/Public Service Executive.
Key Responsibilities:
- This position serves as a team member involved in technical support group for the automated licensing system. The automated licensing system is a complex electronic system software used statewide by all agency vendors in which all Department licenses are sold. Position must be very knowledgeable in all aspects of the system. Position assists with technical support on the phone, serving as a help desk for license agents, Department offices, and the general public purchasing licenses online. Must be able to identify technical problems and provide solutions over the phone for vendors running specialized sales equipment. Must help customers having printing problems on Internet purchases due to PC software updates or printing problems.
- Administers Controlled Shooting Area (CSA) Operator permit/license for the state, assuring operators and the program are in compliance with state regulations and statutes. Coordinates with Law Enforcement on all CSA inspections and issues; maintains multiple database systems verifying accurate account of acreage, lease and/or deed submissions, and accounting of money. Runs multiple complex queries from replicated database for issuing Controlled Shooting Area operator license, certificates, letters, and revenue deposit slips. Corresponds with Controlled Shooting Area operators answering questions, sending out application packets, sending out renewals, determining eligibility, correcting application issues, and issuing CSA operator licenses. Responsible for maintaining all database programs relating to Controlled Shooting Area.
- Responsible for administration of Commission Tag program; organization contact. Coordinates with Big Game specialist, Legal, and Wildlife Coordinator for processing of Big Game Commissioner Tags. Maintains records and inputs data information into Excel sheets.
- Creates requisitions, processes vouchers, and reconciles purchasing card for licensing.
- Serves as initial contact sales agent. Serves as a backup for receptionist and front desk staff ensuring phone calls are transferred accurately and efficiently and walk in customers are provided with excellent customer service.

Minimum Requirements:
- Two years of experience in general office, clerical and administrative support work.
- Two years of customer service experience
- Two years computer experience with proficiency in Microsoft Office is strongly preferred.
- Applicants with demonstrated capability in the development of electronic forms and automated spreadsheets using Microsoft Office Products will be given preference.
- Must possess and maintain a valid driver’s license and pass a background check.
