ADMINISTRATIVE SPECIALIST RESPONSIBILITIES:
Reporting to the Chief of Staff, the Administrative Specialist will lead the creation and management of an effective workflow to support the critical work of the Director’s office.
Scheduling (35%)
- Ensure that the Director’s daily schedule is organized, and that the Director has all the necessary materials for meetings and activities.
- Plan, prioritize, schedule and sometimes attend the Director’s meetings and events.
Social Media (20%)
- Research and write social media captions that reflect the Director’s voice.
- Be a thought partner with fellow members in brainstorming and executing a robust social media plan.
Support and Projects (30%)
- Coordinate special projects as assigned by the Chief of Staff
- Supply financial support by reviewing, processing, and approving travel, Center-related, and research-related expenses.
- Provide thoughts and feedback to the Chief of Staff and Director of the myriad of things produced, activities engaged in, and strategic partnership being nurtured.
Documentation (15%)
- Provide support to the Chief of Staff, (including organizing and convening project team members, drafting memos, maintaining notes and related documents, and editing drafts)
- Provide written responses, summaries, and analyses of documents and/or relevant issues.
- Take meeting notes and share next steps with collaborators as needed.
- Write appropriate captions for social media posts that reflect the Director’s voice and priorities.
- Review or prepare speeches, special messages, talking points and other presentations related to the Director’s agenda.
