JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a candidate for an Administrative Support Assistant 3. The Administrative Support Assistant-Annual Leadership Gifts will be a detailed oriented and organized individual who will provide direct administrative and professional support. This position will perform complex tasks with minimal supervision. The successful candidate will be responsible in part for the following: 

  • Provide leadership to the planning and facilitation of support activities for an office or work unit 

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts 

  • Create and maintain files, databases, and reports 

  • Monitor and maintain budgets; track expenditures 

  • Generate, prepare, and maintain reports and spreadsheets, and authorize processing of payments 

  • Compile and organize information to develop agendas, meeting materials, and reports 

  • Arrange meetings; lead coordination and planning of special events, conferences, and other functions 

  • Support the planning and coordination of moderately complex projects 

  • May act as or support facilities coordinator and manage keys/key inventory 

  • May assist in the supervision and training of student and assigned support staff 

  • Serve as resource to others on a variety of subjects including office equipment, software application usage, and information processing procedures 

 

This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
