The Advancement Assistant operates as a key support member of the
Arts & Sciences, Graduate School, Libraries team and is a
crucial part of the Office of Advancement at the University of
Colorado Boulder! Under the guidance of the Sr. Director, Donor and
Alumni Relations, this position provides administrative support for
a hard-working and collaborative external relations and advancement
team and will work on many projects and tasks. 
This role will perform administrative duties that are variable and
sophisticated in nature and is tasked with exercising a high level
of discretion and confidentiality, especially as it relates to
assigned responsibilities with donors, faculty, staff and other
constituents. This role applies skills and knowledge in multiple
administrative functions, but many responsibilities reflect a
distinct Advancement and constituent engagement component.

growth. What Your Key Responsibilities Will Be
Administrative Support 

  • Assist with the tracking, stewardship and engagement of
    volunteers for the Arts & Sciences, Graduate
    School, Libraries
  • Initiate, schedule and coordinate internal and external
    meetings for the Arts & Sciences, Graduate School,
    Libraries
     donor relations and alumni engagement
    team. 
  • Assist with donor stewardship initiatives, including
    supervising fund agreement deliverables and distributing
    scholarship recipient letters to donors. 
  • Monitor and record donations and event payments. 
  • Serve as the procurement lead for the team by coordinating
    payment of vendors, completing expense reports, and other budget
    management tasks as assigned. 
  • Provide event support and preparation as necessary. 
  • Coordinate the inventory ordering and tracking for branded
    event materials and giveaways. 
  • Assist with planning tasks such as venue searches/reservations,
    vendor inquiries/ordering, nametag printing, calendar updates, and
    other logistical needs. Build registration pages in Cvent or other
    appropriate platforms including relevant branding and other
    requirements based on the unique needs for each
    initiative. 
  • Manage all registration updates, changes, and reports leading
    up to the initiative along with appropriate post-initiative
    tracking and survey administration. 
  • Proactively engage with the division’s Administrative Team
    (A-Team) and attend scheduled meetings. 
  • Assist with special projects. 

Communication Support 

  • Develop competence in using the e-Comm platforms which
    currently include Cvent, Marketing Cloud and Salesforce. 
  • Build email communications in Marketing Cloud for event
    invitations, volunteer opportunities, and necessary
    communications. 
  • Assist with increasing awareness of engagement activities among
    Arts & Sciences, Graduate School, Libraries faculty/staff,
    advancement colleagues, alumni, and students as
    appropriate. 
  • Assist with the execution of physical mailings by curating the
    distribution list, ordering necessary supplies, and coordinating
    the send. 

Office Management 

  • Answer and direct phone calls; screen phone messages and
    distribute/follow-up as necessary. 
  • Receive, process and distribute unit mail/inter-office
    correspondence. 
  • Prepare and submit expense reports; prepare purchase
    requisitions for various office needs; maintain office supply
    inventory. 
  • Serve as a liaison between the Arts & Sciences, Graduate
    School, Libraries donor relations and alumni engagement team and
    various internal and external constituents. Research and gather
    information on various topics as necessary and expedite the flow of
    information to staff. 
  • Resolve IT/software related issues for the team.

What You Should Know

  • This position will occasionally be required to work
    evenings/weekends.
  • This position has the ability to work a hybrid schedule with
    some days on campus and some days remote.

What We Can Offer The salary range for this position is
$53,000-$58,000 annually. Relocation assistance may be available
within department guidelines.

What We Require

  • At least 1+ years of experience directly related to the work
    assignment. 
  • Bachelor’s degree or equivalent experience or combination of
    education and experience may substitute.
